The event will take place entirely indoors within a fully covered multi-purpose sports complex; therefore, standard weather conditions (such as rain or temperature changes) will not disrupt the competition schedule.

In the event of severe weather emergencies, natural disasters, or unexpected governmental directives:

• The Organizing Committee will promptly notify Team Coaches and Mentors via their registered email addresses and official messaging/phone channels.

• Coaches and participants are advised to regularly monitor their registered emails and phone contacts before and during the event for any urgent updates.

• Refund Policy:

  Registration fees are strictly non-refundable under all circumstances.

• Meal Inclusions:

  The standard team registration fee covers 5 meals for up to 6 team members (Lunch on Feb 26, 27, 28 and Dinner on Feb 26, 27, 2027).

• Additional Members Fee:

  An extra fee of $20 USD per person (or 520,000 VND per person, fixed exchange rate: 1 USD = 26,000 VND) applies to any additional member (from the 7th member onwards).

Health and Safety Policies

To ensure a safe and healthy environment for all participants, coaches, and attendees, the Organizing Committee outlines the following health and safety protocols:

1. Personal Medical Preparations: Individuals and team members with specific medical conditions, specialized treatments, or severe allergies are advised to proactively carry their required personal medications and take necessary precautions prior to attending the event.

2. On-site Medical Support: A dedicated school medical team will be on standby at the venue's first-aid room throughout the entire competition days to provide immediate first-aid and medical assistance when needed.

3. Emergency Assistance: If any medical assistance is required, please immediately contact our on-site Volunteers wearing red T-shirts (with red volunteer badges, and "Sao Viet School" printed on the back) stationed around the Pit area and competition fields for prompt directions and support to the medical station.

Judging for all judged awards (including the Excellence Award, Design Award, Innovate Award, etc.) will follow Global Robotics and Science Foundation's evaluation process:

1. Digital Engineering Notebook Submission:

   • All teams must submit their Digital Engineering Notebook via VexEvents (as a public link or uploaded PDF file).

   • Submission Deadline: Before 23:59 on February 10, 2027 (Vietnam Time / GMT+7).

   • Note: Late submissions after this deadline or hard-copy notebooks submitted on-site will not be accepted by the judging panel.

2. In-Person Team Interview:

   • All eligible teams will participate in face-to-face interviews with the Judges at their designated Pit booths during the event days.

   • All team members should be present to share and demonstrate their engineering design process, programming, robot development, and teamwork.
