In the event of severe weather, an emergency, or other circumstances that may impact the safety of participants or the ability to hold the tournament, the Event Partner will communicate any schedule changes, delays, or cancellations to registered teams as soon as possible. Coaches are responsible for monitoring their email and the event page for updates.

The safety of our teams, coaches, volunteers, families, and spectators will always be our top priority. If the event is canceled by the Event Partner due to emergency conditions or severe weather, a full refund will be issued to registered teams.

Refund Policy

If the Event Partner cancels the event:
A full refund of all registration fees will be issued. Refunds will be sent to the address associated with the team’s event registration, regardless of the original payment method. Refunds may be issued by check or another payment method through the Event Partner’s standard refund process.

For example:

• If payment was made by check, the refund may be sent by check to the school’s or organization’s business office.

• If payment was made through a purchase order or another invoicing process, the refund may be handled according to the organization’s financial procedures.

If a Coach/Mentor withdraws a team or the team does not attend:
If a Coach/Mentor completes registration and later withdraws the team, or the team does not attend, no refund will be issued.

Payment Deadline:
Payment is due within 30 days of registration. Teams that have not paid by the deadline may be moved to the waitlist to make room for another team.

Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact. A submission deadline that may be scheduled ahead of the event date.
