Somerset Oaks Leadership and Innovation is thrilled to present this VEX IQ tournament for Elementary School students. We anticipate a day brimming with robotics competition and enthusiasm. We can't wait to witness the brilliance of all teams!

Every participant is required to fill out the participant release form. This form, also accessible in Spanish, needs to be completed just once for the entire season, encompassing all events.

  •  Arrival/Check-in: Students, Coaches, and parents should make every effort to arrive by 7:45 AM to check-in on time, with Inspection-ready robots.
  • Code of Conduct/Student Centered: All participants should abide by the Code of Conduct  and the Student Centered Policy PARENTS PLEASE REVIEW CODE OF CONDUCT FOR STUDENTS 
  •  Pits and Competition Area: Check the information in the envelope given to the Coach at check-in. Only coaches and the teams should be at the pits. Parents are invited to sit and enjoy the matches in the competition area.  Your pit number is your team number. Please stay in your pit area between competing to make it eaiser for other for teams to find you to work on strategy and so judges can located you for interviews.
  •  Inspections: All robots should pass inspection after check-in.  Inspections open at 8:00 AM and close at 8:45 AM. To avoid delays on the day of the competition, please pre-inspect your robots at your schools. .  
  •  Charging Stations: Please bring your chargers, batteries, charging cables, extension cords, and power strips to the competition.
  •  Practice Fields: Practice Fields are allowed as long as there is space. We will have limited space in a designated area for practice fields. If you bring a practice field, it is expected you will allow other teams to practice on the field with you. 
  •  Skills and Qualification Matches: Skills Matches will be completed before we start Qualification Matches.   
  •  Food: Our SOLI Cafe will be selling lunch and snacks all day, so come hungry.  
  • Digital Engineering Notebooks will be judged in this competition and are due January 2nd, 2027.

In case of an emergency or bad weather, primary team contacts will be notified by the Event Partner.

Políticas de reembolso e pagamento

  • If the Event Partner cancels the event: Should there be a need to cancel an event, efforts will be made to set a new date to ensure participants have a chance to compete. If rescheduling isn't feasible, participants will be reimbursed. For any queries regarding this rule, please contact the event partner.
  • If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend: Refunds won't be provided unless there's a backup team on standby that can take the place of the departing team. If a standby team is available to replace the exiting team, a refund will be processed. For further clarification on this policy, please engage with the event partner.
  • If a registered team has not paid by the payment deadline of January 1st, 2027, that team will be wait listed to make room for another team

Health and Safety Policies

At Somerset Oaks Leadership and Innovation, the safety of our students, coaches, volunteers, judges, and spectators is our top priority.

To help ensure a safe and successful VEX IQ Competition:

  • Security: A police officer and school security team will be on standby throughout the event.
  • Student Supervision: Students must remain with their coaches or designated adults.
  • Robot Safety: Robots may only be operated in designated areas, and students must follow VEX IQ safety guidelines.
  • Emergency Procedures: All participants must follow directions from school staff, event officials, security, and emergency personnel.
  • First Aid: First-aid supplies and emergency medical assistance will be available if needed.
  • Fire & Evacuation: Emergency exits and walkways must remain clear. Participants must follow all evacuation instructions.
  • Severe Weather: The event may be paused or relocated if severe weather creates unsafe conditions.
  • Restricted Areas: Participants and spectators must remain in designated areas and may not enter restricted spaces.
  • Prohibited Items: Weapons, alcohol, tobacco/vaping products, illegal substances, and hazardous materials are not permitted.
  • Respectful Behavior: Fighting, bullying, harassment, horseplay, and unsafe behavior will not be tolerated.

If you see an unsafe condition or have a safety concern, please notify an event staff member, school administrator, security officer, or police officer immediately.

Our goal is simple: Safe students, safe competition, and a great day of robotics!

 Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact. A submission deadline that may be scheduled ahead of the event date.
