Hello everyone,

Thank you for visiting the event page for the upcoming World Championship Qualifier, scheduled for February 15th, 2026. This event will serve as the National Regional Championship (NRC) to determine the team or teams that will represent Japan at the World Championship.
Please note that only teams registered in Japan are eligible to participate in this event. In addition, to compete in the NRC, teams must have participated in at least one official tournament during this season.

Engineering Notebook Submission Deadline

Update – February 3, 2026

Due to the increased number of teams participating in this season’s NRC, and in order to ensure that our judges are able to spend sufficient time reviewing all Engineering Notebooks carefully and fairly, we have decided to move the submission deadline earlier.

Updated submission deadline:
11:00 PM on Friday, February 6th (JST)
(Previously: 5:00 PM on Monday, February 9th)

We sincerely apologize for this sudden change and any inconvenience it may cause. This adjustment is being made to support a smooth judging process and to ensure that all teams receive appropriate and thoughtful evaluation during this World Championship Qualifier.

We would like to share an important update regarding advance shipment and storage of robots.
Update – January 23, 2026

Due to space and liability limitations, the Event Partner and venue are unable to accept or store robots or team equipment prior to the event day. With approximately 48 teams attending this championship, we do not have the capacity to hold robots or materials in advance of teams’ arrival.

All teams are therefore required to bring their robots and equipment with them on the day of the event.

If advance shipping is unavoidable, teams are asked to make their own arrangements by using a nearby convenience store pickup service or a local post office (hold-for-pickup).
Please do not ship robots or equipment directly to the event venue.

We would like to share an important update regarding the schedule of this event.
Update – January 11, 2026

Although the National Regional Championship (NRC) is designated by the REC Foundation as a two-day event, the competition in Japan will be conducted only on February 15, 2026.
This final decision was made due to Japan’s current community development phase and longstanding practices, where national-level events have historically been held as single-day competitions.

In addition, many schools in Japan must submit annual activity budgets nearly a year in advance. As a result, most coaches and schools had only planned for a one-day participation schedule for this season. To ensure fairness and avoid disadvantage for teams who prepared according to these expectations, the local organizing committee YSE has decided to host the official competition day on February 15 only.

To maintain the integrity of this championship and ensure all matches are judged fairly, external personnel will be hired as referees and judges. Furthermore, we will make every effort to maximize the number of Qualification Matches and Elimination Matches within the day so that teams can fully demonstrate their abilities on the field.

Looking ahead, beginning next season, the NRC in Japan will follow REC Foundation requirements and be held as a two-day championship event. Participation in the NRC will require teams to have competed in at least one official tournament during the season (excluding scrimmages).
If participation limits must be set, NRC entries will be determined in accordance with REC Foundation qualification criteria, ensuring a transparent and consistent process for all teams.

We appreciate your understanding as we continue to grow and strengthen the VEX Robotics community in Japan.

To ensure a smooth and successful event, please review the following important announcements:

1. Engineering Notebook

Engineering Notebook judging will be conducted remotely prior to the event. Teams must submit their notebooks in advance for evaluation. Notebooks brought to the venue on the day of the event will be treated as reference materials only and will not be considered for official judging. Please submit your Engineering Notebook in PDF format by 11:00 PM on Friday, February 6th. This allows for fair judging and gives teams more time to focus on the competition during the event. If you are using a web-based Engineering Notebook, you may submit it through your RobotEvents account.

Please note that the Excellence Award, which is necessary to qualify for the World Championship, is determined through a judging process that includes review of the Engineering Notebook. If a notebook does not meet the required standards, the team may not be invited for an interview. Interviews will take place on the day of the event and will last approximately 15 minutes per team.

We strongly encourage all teams to prepare thoroughly in advance to make the most of this limited interview time.

2. Lunch

Lunch is not included in the registration fee. Further details will be shared as the event approaches.

3. Consent Form

All participants, including students and instructors, must submit a consent form before the event. These forms cover important topics such as safety, liability, image rights, and eligibility. Since parental consent is required, please make sure all forms are submitted in advance. Teams that do not submit the required forms will not be allowed to participate.

4. Volunteer

Each team is required to provide at least one volunteer.
Please click here to access the volunteer application form. Volunteers may include instructors, parents, relatives, friends, or siblings of team members. As the event date approaches, the event organizer will contact volunteers regarding their assigned roles.

5. Entry Fee

The participation fee is ¥24,000. Please make your payment by the specified deadline. For payment instructions, select “Payment Link” from the menu on the left side of the main page.

Code of Conduct

The REC Foundation considers the positive, respectful, and ethical conduct of teams to be an essential component of the competition. Participants are expected to behave in a respectful and professional manner, and to operate as student-centered teams with limited adult assistance. This includes all students, teachers, coaches, mentors, parents, and spectators associated with a team.

For more details, please refer to the REC Foundation Code of Conduct and Student-Centered Policy. If you have concerns about compliance with the Code of Conduct, please speak to the Event Partner during the event.

Refund and Payment Policies

If the Event Partner cancels the event: Refunds will be made at the discretion of the Event Partner and only in the case of an emergency.

If a team completes registration for the event and later chooses to withdraw or not attend: Regardless of the circumstances, if a team wishes to cancel their participation and request a refund, they must do so by 30 days prior to each event before the Event Partner cancels. No refunds will be issued for non-participation beyond the 30-day deadline. If a refund is approved, it will be processed within one month from the date of the refund request. Please note that the refund amount will not be the full payment, as it will be adjusted for payment system fees, schedule change fees, differences in currency exchange rates if applicable, and any bank transfer fees incurred.

This competition will determine the team(s) representing Japan at the World Championship. To qualify, teams must receive the Excellence Award, which is selected by the judges. The Engineering Notebook will be reviewed remotely in advance, and a 15-minute team interview will take place on the day of the event. Please note that teams not nominated for any judged awards based on their notebook evaluation may not be invited to an interview. To make the most of the limited time available during the event, all teams are strongly encouraged to prepare in advance for the interview.
