Emergency/Bad Weather Policy
Emergency/Bad Weather Policy
In case of an emergency, unsafe weather conditions, or other unforeseen circumstances that make it impossible to hold the event as planned, The Next Gen will make every effort to reschedule the event.

Teams will be notified immediately by email and phone using the contact information provided during registration.

If the event cannot be rescheduled, teams will receive a full refund of their registration fees.

Please ensure your team’s contact information on RobotEvents is accurate so we can reach you quickly in case of any changes.
The safety of all participants, students, and volunteers is our top priority.
Refund and Payment Policies
1. If the Event Partner cancels the event
This means you (as the event organizer) decide or are forced to cancel the event — for example, due to weather, venue issues, or low registration.
➡️ What happens:

The Event Partner (organizer) should refund all teams that already paid their registration fees.

RobotEvents expects full refunds in this case (minus any unavoidable processing fees, depending on payment method).

The organizer can specify in the event policy how refunds will be handled and within what time frame.
2. If a Coach/Mentor withdraws or chooses not to attend
This means a team registered for the event but later cancels or doesn’t show up.

Whether they get a refund depends on the policy you (the event partner) set.

Usually, organizers make refunds non-refundable after a certain date, because they’ve already spent money on logistics.

Health and Safety Policies
The safety of all participants, volunteers, and guests is our top priority.
All teams and attendees are expected to follow the event staff’s instructions and REC Foundation safety guidelines throughout the competition.

Each team must ensure that their robots are operated safely and inspected before matches.

All participants should wear closed-toe shoes in the competition area.
-
Electrical tools and batteries must be handled with care and used only in designated pit areas.

Emergency exits will be clearly marked, and a first-aid kit will be available on site.

In case of any injury or emergency, please report immediately to the nearest event volunteer or staff member.

Any additional health measures required by the venue or local authorities (e.g., hygiene, crowd management) will be communicated before and during the event.

This event will not have a live webcast.
However, event highlights, photos, and videos will be shared after the competition on AUIS & TheNextGen’s social media pages.
Judging Format
All In-Person Judging – The Team Interviews and Engineering Notebooks will be judged in person on the day of the event.
Teams should bring a printed or handwritten physical copy of their Engineering Notebook to submit to the judges during check-in.
Judging will follow the official VEX Robotics Competition Judging Guide.
