Emergency/Bad Weather Policy
If the event is canceled due to bad weather/emergencies beyond the event partners control, the event partner will attempt to re-schedule (no refunds as the event is free). Teams should make sure their contact information is up to date and includes both school and non-school phone numbers.
Refund and Payment Policies
If the Event Partner cancels the event:

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

Health and Safety Policies
General Safety

All participants must follow event staff instructions and venue rules

Maintain a clear and safe workspace around robots and computers

Cables and chargers must be secured to avoid tripping hazards

Store tools in designated areas only

No running or horseplay in the event space
Robot & Equipment Safety

All robots must pass inspection before operating

Teams may only power robots when on the field or at a safe pit station

No testing in hallways or common walkways

Do not work on electrical systems with batteries connected

Damaged batteries must be reported to staff immediately
Electrical & Battery Safety

Use only VEX-approved chargers and batteries
-
Batteries should not be left charging unsupervised

Inspect batteries for swelling and damage before use
-
Place batteries on a non-flammable surface during charging
-
If a battery becomes hot or swollen, disconnect and notify staff immediately
Venue Conduct & Behavior

Respect others — no abusive language or harassment

Keep noise low to ensure a professional remote broadcast environment

Food and drinks allowed only in approved areas — not near electronics or fields
Emergency Procedures
