High School Event (128 Teams - 2 Divisions)

Note: Schedule is tentative - the event partner will email an up to date scedule closer to the event​

Day 1: Wednesday, February 10, 2027

• 7:30 AM: Doors Open & Check-In

                          Note: A digital check-in will be emailed to coaches. Teams that check in digitally do not need to stop at the check-in table.

• 7:30 AM – 9:30 AM: Inspection

                         Note: All teams must pass inspection prior to using the practice or skills fields.

• 8:00 AM – 5:30 PM: Skills & Practice Fields Open

  • Skills will close during the opening ceremony and drivers meeting.

  • Skills and practice fields will run with a smaller crew during lunch to allow for staff breaks.

• 8:30 AM: Judging Begins (continues throughout the day)

• 9:30 AM – 10:30 AM: Opening Ceremony & Drivers Meeting

• 11:00 AM – 12:00 PM: Qualification Matches

• 11:30 AM – 12:30 PM: Judges' Lunch Break

• 11:30 AM – 1:30 PM: Skills & Practice Field Staff Lunch Rotation

• 12:00 PM – 1:00 PM: General Lunch Break

• 1:00 PM – 6:00 PM: Qualification Matches Resume

Day 2: Thursday, February 11, 2027

• 7:30 AM: Doors Open

• 8:00 AM: Final Judging (concluding any remaining interviews from Day 1)

• 8:00 AM – [End of Match Play]: Skills Fields Open (closes when the last qualification match is scored)

• 8:00 AM – 11:00 AM: Qualification Matches

• 11:15 AM – 12:00 PM: Alliance Selection

• 12:00 PM – 1:00 PM: Lunch Break

• 1:00 PM – 3:30 PM: Finals

• 3:30 PM – 3:45 PM: Awards Ceremony

                       Note: Award presentations will begin during the finals to keep the schedule moving efficiently.

Refund and Payment Policies

Event Payment & Refund Policy

Hosting an event of this scale incurs significant expenses that typical local events do not face. For this reason, our payment and refund policies will be strictly enforced.

Refund Policy

• If the Event Partner (EP) cancels the event:
  Refunds will be issued to all registered teams. 

• If a team withdraws or fails to attend:
  As a general rule, refunds will not be issued. However, we understand that unforeseen circumstances arise. Please contact us as soon as possible; a partial refund may be considered if your spot can be filled by another team from the waitlist.

Payment Policy

Due to a high volume of teams last season holding registration spots without paying or dropping out at the last minute, we are enforcing a strict new payment policy.

Early-Bird Registration

• PO Requirement: Teams must have a Purchase Order (PO) on file prior to the start of standard registration. Teams that have not updated their account status to "PO Processing" will be moved to the waitlist.

• Payment Deadline: Orders must be marked as "Paid" on events.vex.com within 4 weeks of the registration date. Teams without a posted payment within this 4-week window will be moved to the waitlist. (Note: Having a PO on file does not constitute a "Paid in Full" status).

Standard Registration

• PO Requirement: All teams must have a PO on file within 2 weeks of registering.

• Payment Deadline: Registration must be paid in full within 2 weeks of registering, or immediately if registering after January 5, 2027 (unless prior arrangements have been made with the EP).

• Waitlist Policy: Unpaid teams will automatically be moved to the waitlist two weeks after registration. Teams may only be added back to the active roster if space permits.

• Tip for Teams: If your school or organization's payment process naturally takes longer than two weeks, clear and proactive communication with the EP is required to prevent your team from being moved to the waitlist.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.

Signature Event Early Bird Policy

• All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems
  • Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
    • An opportunity is taken away each time the team registers for a Signature Event, whether during the Signature Event Early-Bird period or Standard period
    • A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner)
  • Early Bird Registration will open 16 weeks before the event at 12:00PM EST
    • Note: Modifications to this may be made for events in August and September
  • Standard Registration will open 14 weeks before the event at 12:00PM EST
  • An Event Partner may register their own teams to their Signature Event during Signature Event Early Bird Registration no matter how many other Signature Events they are already registered for  
    • The Event Partner must be the Primary Contact for the teams they are registering
