General Info
Bots at Bristol
Bots at Bristol will be held at the iconic Bristol Motor Speedway, home of the "Fastest Half-Mile." One hundred and twenty eight high school teams will battle it out in the Last Great Colosseum for a coveted chance to compete at the 2027 VEX Robotics World Championship™.
Only 3 teams will prevail. Will your team be the final gladiators standing?
We will contact you closer to the event with final details—including driving directions, facility maps, schedules, and food ordering information. In the meantime, if you have any questions, please email [email protected].
Action Required: All participants must submit their Participant Release Form through Events.vex.com prior to arrival at the event.
Critical Deadlines & Check-In

January 16, 2027 – Pre-Order Shirts Only: Event shirts will be available via pre-order only.

Orders will not be taken at the event. Please use [link coming soon] to pre-order. Note: We highly prefer bulk team orders with a single payment if possible.

February 5, 2027 – Digital Check-In Closes: Bypass the physical check-in table on morning-of by completing [link will be emailed to coaches the week prior to the event]. Digital check-in strictly closes the friday before the event.

Engineering Notebooks: Physical, in-person notebooks are required at this event. Digital notebooks will not be accepted.

Lunch Options: Lunch will be available for purchase the day of the event via the BMS Food Truck.

Outside Food Policy: BMS requests that no outside food be brought into the venue (note: compliance is requested, but this will not be actively policed).

Venue Details & Parking

Parking: Parking is completely free at the venue. However, you must not triple-park your vehicle. Vehicles found triple-parked will be towed at the owner's expense.

BMS Souvenir Shop: Open weekdays until 5:00 PM.

2027 VEX Robotics World Championship™
Signature Events will be awarded 2027 VEX Robotics World Championship™ qualification spots if they meet all established criteria set forth by GRSF. Failure to fully comply with these criteria may result in the event being ineligible to receive World spots, regardless of prior expectations or historical precedent.

Event Payment & Refund Policy
Hosting an event of this scale incurs significant expenses that typical local events do not face. For this reason, our payment and refund policies will be strictly enforced.
Refund Policy

If the Event Partner (EP) cancels the event:
Refunds will be issued to all registered teams. -
If a team withdraws or fails to attend:
As a general rule, refunds will not be issued. However, we understand that unforeseen circumstances arise. Please contact us as soon as possible; a partial refund may be considered if your spot can be filled by another team from the waitlist.
Payment Policy
Due to a high volume of teams last season holding registration spots without paying or dropping out at the last minute, we are enforcing a strict new payment policy.
Early-Bird Registration

PO Requirement: Teams must have a Purchase Order (PO) on file prior to the start of standard registration. Teams that have not updated their account status to "PO Processing" will be moved to the waitlist.

Payment Deadline: Orders must be marked as "Paid" on events.vex.com within 4 weeks of the registration date. Teams without a posted payment within this 4-week window will be moved to the waitlist. (Note: Having a PO on file does not constitute a "Paid in Full" status).
Standard Registration

PO Requirement: All teams must have a PO on file within 2 weeks of registering.

Payment Deadline: Registration must be paid in full within 2 weeks of registering, or immediately if registering after January 5, 2027 (unless prior arrangements have been made with the EP).

Waitlist Policy: Unpaid teams will automatically be moved to the waitlist two weeks after registration. Teams may only be added back to the active roster if space permits.

Tip for Teams: If your school or organization's payment process naturally takes longer than two weeks, clear and proactive communication with the EP is required to prevent your team from being moved to the waitlist.

Judging Format
All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.

Signature Event Early Bird Policy
- All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
- An opportunity is taken away each time the team registers for a Signature Event, whether during the Signature Event Early-Bird period or Standard period
- A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner)
- Early Bird Registration will open 16 weeks before the event at 12:00PM EST
- Note: Modifications to this may be made for events in August and September
- Standard Registration will open 14 weeks before the event at 12:00PM EST
- An Event Partner may register their own teams to their Signature Event during Signature Event Early Bird Registration no matter how many other Signature Events they are already registered for
- The Event Partner must be the Primary Contact for the teams they are registering
- Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period
