General Info

Welcome to the first robotics scrimmage of the 2023-2024 season,  VRC "Over Under", hosted by Carey Baptist College We extend a warm welcome to all participating teams and wish you the best of luck in this exciting event. Get ready to showcase your robotics skills, innovation, and teamwork as you compete alongside other talented teams. We have put together important information to ensure your participation goes smoothly and you have an enjoyable experience. Please take note of the following details: 

  

  1. Event Location: The robotics competition will take place at Carey Baptist College in Harrisdale. The venue provides an excellent setting for teams to showcase their robotics skills and compete in a supportive and engaging environment. 

  2. Arrival and Departure Times: We kindly request all teams to plan for arrival before 9:00 AM on the event day. The competition is expected to run until approximately 3:30 PM. Please note that these times may be subject to change closer to the event, depending on the number of teams registered. We will keep all participants informed of any schedule adjustments. 

  3. Food Sales: Food and drinks will be available at the adjacent Timber café, for menu information, please check the website: Timber (timbercafe.com.au) 

  4. Further Assistance: Our team is dedicated to providing a memorable and well-organized competition experience. If you have any general inquiries or require assistance regarding the event's operations, please don't hesitate to reach out to our team members, who will be present at the venue to provide guidance and support.

Competition Preparation 

All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared. 

Review all game information:  https://www.vexrobotics.com/v5/competition 

  1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. Robots must use VEX V5 parts. Please self inspect before arriving at the tournament using the V5 Robot Inspection Checklist 

  2. Check the official VEX forums for rule updates and changes. 

  3. Carefully read all of the information contained in the tournament posting on robotevents.com 

  4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget. 

    • Goggles/Safety Glasses 

    • Spare parts & tools 

    • Batteries and chargers 

    • Power strip and extension cord 

    • Laptop computer 

    • Programming cable 

    • Engineering notebook (Required for judged awards) 

    • Banners and other decorations for your team pit table 

    • Giveaways if you have them 

  5. Be sure to read 101 Things You Should Know Before Your First VEX Tournament

  6. Review the descriptions and criteria for the awards that are being given during the tournament. 

  7. Prep for your interviews with the judges and read the Judge's Guide. Check the awards tab to see what awards will be given during the tournament. 

  8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby, as teams are close to each other in the venue pit area. Also, remember no grinding or other actions that create sparks, ask the tournament director for a safe location if grinding is needed. 

  9. Ensure that you have the latest version of programming software and firmware for your V5 Brain

Volunteer

We invite teams to contribute to the success of the robotics competition by providing volunteers to assist with various roles throughout the event. Your participation as volunteers will greatly contribute to the smooth operation and fair execution of the competition. We appreciate your support in advance! 

Volunteer Roles: 

  1. Refereeing: Volunteers will assist in refereeing matches, ensuring fair play, and maintaining game rules adherence. 

  2. Queuing: Volunteers will help manage team queuing and assist in coordinating match schedules. 

  3. Technical Inspection: Volunteers will work alongside a trained leader to conduct technical inspections, ensuring that robots meet the required specifications and safety standards. 

  4. Judging: Volunteers will join trained judges in evaluating team performance, innovation, and design during the competition. 

Please note that all volunteer roles will have experienced leaders who will guide and support them throughout their duties. 

Requirements: For the safety and security of all participants, all adults interested in volunteering must possess a valid Working with Children Check (WWCC) in accordance with our child protection policy. This check ensures the protection and welfare of all participating students. 

Volunteer Submission: If your team is willing to provide volunteers for the event, please submit the names of the volunteers to Peter Bennison [email protected] . Peter will coordinate the volunteer assignments and provide further instructions. 

We greatly appreciate your team's support and willingness to contribute to the success of the robotics competition. Your volunteers will play a crucial role in ensuring a fair, organized, and enjoyable experience for all participants. Thank you for your dedication and assistance! 

Emergency/Bad Weather Policy

The event partner will contact teams in the event of a weather event or other unforseen event that affects the health and safety of teams or the teams' ability to get to the venue. 

We will endeavour to reschedule the event if it needs to be postponed. 

Be sure that your team contact information for the day of the event is up to date in Robotevents 

Refund and Payment Policies

Teams that withdraw 7 days before the event will not be invoiced.
