General Info
Carrot Cup Qualifier at SDSU
This January, JACKS and South Dakota State University will be hosting our first-ever Carrot Cup Qualifier!
Held in the SDSU Student Union, this event offers an opportunity for Collegiate students to represent their schools and potentially qualify for the World Championship (given at least 8 competing teams).
Registration Information
All participating teams must be registered with the VEXU Robotics Competition on the Robot Events website and have an official team number before registering for this event. Tournament fees must be paid before teams are allowed to compete. Registration and payment should be completed through the Robot Events website. Teams that have not paid by the payment deadline will be moved to the waitlist until payment is received. If your team is unable to meet the payment deadline, please reach out—depending on the circumstances, late registration and payment may still be accommodated. VEXU teams have the opportunity to have their registration fee waived in exchange for a full day of volunteering for the V5RC competition on the following day, in the positions of judge or running the Tournament Manager software. This opportunity will only be offered for a maximum of 3 teams, with first come first-served. If you are interested in this opportunity, contact the Event Partner and when registering, select "pay later" at checkout. If your team is unable to participate in the volunteer waiver program due to scheduling or other constraints, please reach out. We understand that budgets vary, and additional financial accommodations may be considered when necessary to ensure as many teams as possible have access to this opportunity.
Waiting List
If this event is full, please add your team to the waitlist. The event’s participating teams may go above the listed capacity under appropriate circumstances. Additionally, if your organization wishes to bring more than four teams, please add additional teams to the waitlist, and we will expand the maximum organizational limit if there are still open spots and the given organzation wouldn't exceed 25% of the event total teams.
Engineering Notebooks
We will be collecting digital engineering notebooks at this event for judging.
Physical notebooks will not be accepted for judged awards.
All notebooks will be Wednesday, January 14th at 4pm
Lunch and Concessions
Full concessions, including lunch options, will be offered at this event.
Elimination Matches
All teams up to 16 will make elimination matches, with the top placed alliances receiving byes as needed. If the event goes over 16 teams only the top 16 ranked teams will make elimination rounds.

Review the rules and inspection checklist about a week before the event to allow time for adjustments. Robots must use VEX V5 parts. Please self-inspect using the V5 Robot Inspection Checklist.

Prepare for judge interviews by reviewing the Judge’s Guide and checking which awards will be given.

Prioritize safety—do not bring tools that could pose a risk in crowded pit areas. No grinding or actions that produce sparks without tournament director approval.

Ensure that your V5 Brain firmware and programming software are fully updated before arrival.
Participation and Consent Form
A completed consent form for all participants must be uploaded to RobotEvents.com prior to the tournament. Team leaders must ensure that all team members attending have completed the online consent form.

10:15 AM – Team & Driver meeting and opening ceremonies
10:30 AM – Qualification matches begin
12:00 PM – Lunch break (qualification matches pause)
12:45 PM – Lunch ends, qualification matches resume
4:00 PM – Qualification matches and skills end
4:30 PM – Begin elimination rounds (awards presented between rounds)
6:00 PM – Eliminations end, final awards, and closing

Emergency/Bad Weather Policy
The tournament will go on unless the interstates are closed for bad weather.
If the event is cancelled, then Cancelled will appear in the title of the event, and an email will go out to all registered teams.
Refund and Payment Policies
If the Event Partner cancels the event:
If the event should have to cancel there will be no refunds.
The event will not cancel unless the interstate is closed the day of the event.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
If a team withdraws from this event before December 1st, 2025, there will be a full refund, except for $5 fee due to the REC Foundation. Any withdrawl after December 1st will result in no refunds.

To address any concerns about parking, the reserved, commuter, and economy lots are not enforced during weekend hours except for the hours of 2 am to 5 am. Therefore, it is recommended that you and your team unload your resources at the east side of the building, then park on the west side in lot 140 to avoid any fees. In the unlikely event that Lot 140 is filled, additional parking options are available by the Wellness Center and directly east of the Arena.

Judging Format
- Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. A submission deadline that may be scheduled ahead of the event date.
