Emergency/Bad Weather Policy

In case of bad weather condition or possible cancellations, please visit the event on events.vex.com where I will post updates about the event status as needed in the General Description.  Please feel free to contact me by phone at 574-722-3200  or on my cell at 765-437-9128 if you are going to be late to the event.  Match Lists will be generated as scheduled and cannot be re-run.

1/13/17  Latest updated email sent to all coaches stating that we are having to cancel and are looking to reschedule for 1/21/17 if we have enough teams available for a qualifying event.

Good morning VEX Coaches,

Well, it appears that the weather forecast is going to win out this time.  Due to the fact that several of the counties that we have teams traveling in from are now in the winter advisory and the remaining teams are in counties just north of the advisory, we are going to have to cancel the competition for this Saturday.  We would like to move the competition to the following Saturday which is January 21st.  Please let me know as soon as possible if this weekend will work for your team so I know the number of teams we would have in attendance.  Remember, we have to have 16 to be considered a qualifying event.

1/12/17  Following is an email sent to all coaches about the possible bad weather.  I will update this page as needed.

Good evening VEX Coaches,

I have received several calls and emails asking what the plan is for the competition on Saturday with the possible inclement weather our area might receive.  I have consulted with several people and believe we have a plan in place and wanted to pass this along to you.

As of right now, we are planning to hold the event as scheduled.  However, if our county or surrounding counties are made part of the winter weather advisory we will cancel the event and look at rescheduling it for possibly the following weekend. 

We will monitor the weather closely and if it appears that we are definitely going to receive ice, then we will cancel the event.  If there remains some uncertainty whether or not our area is going to receive any ice then we will plan to hold the event as scheduled.  We will evaluate the conditions through the evening and into the morning hours. If it appears that roads are not safe to travel on, we will cancel the event.  Obviously we want all teams to be able to travel safely to the event.  It is not our intention to keep everyone in limbo, but at this time there is too much uncertainty for our area to call off the event.

I will keep you all updated as I am given information and appreciate your understanding.  I promise to inform all coaches to any changes as soon as possible.  If you have any questions, please feel free to call me or email me.  Information will also be updated on the event website.

Refund and Payment Policies

All requests for refunds must be made 2 weeks prior to the event.  Refunds, if approved, will be processed within 1 month following the event.
