General Info

VEX IQ Qualifying Event

This VEX IQ event is a qualifying event to the Washington VEX IQ State Championships and is open to all registered VEX IQ teams.

The following awards will be given out:

(1) - Excellence
(2) - Teamwork Champions
(1) - Design

We will be awarding trophies to the above as well as 1st place Skills and Judges awards.

Certificate awards will be given to 2nd place teamwork challenge and skills as well as to a number of other judges awards such as Teamwork, Sportsmanship, Amaze, etc as determined by the judges.

If (10) Middle School and (10) Elementary School VEX IQ teams register for this event, then a second Excellence Award will be added.  One (1) MS Excellence and (1) ES Excellence, and both will qualify to the State Championship.

Parking:

There should be plenty of space in our parking lot to accomodate all attendees.  Please follow the signs for direction when driving into the lot to avoid congestion.  Please respect marked handicap parking spots.  There will be reserved spots for teams that have notified us that they are bringing practice fields for the event.

If you do end up having to park in the residential area near the school, you are welcome to pull up to drop off people/robots before parking.  Please be very respectful of people's driveways and walk areas when parking.

Entrance:

The gym entrance is up the stairs between our main buildings.  Handicap access is available.  After entering the building, please check in at the table there.  If you need handicap assistance, please let someone know and they will guide you through the route you need to take.

Practice Fields:

We have space for practice fields.  Please contact us before the event if you can bring your field by emailing [email protected] or by contacting Kevin Tucker: 206-227-9236 call or text.

Check-In & Inspection:

Check-in will be occuring at the table in the gym, nearest the main entrance.  Only one member of the team with the physical team notebook should line up for check in in the line starting at 8:30am.  Please keep the line open for people to be able to move in and out of the gym.

If you know you cannot make it to this event, please let us know as soon as possible!  (Kevin Tucker: 206-227-9236 call or text).

Team Pit tables are located in our gym and a map will be provided to help you find your location.  Please let us know if you have any handicaps that should be taken into account for when we assign table space.

For inspection, 1-2 student team members should bring the robot, with a charged battery, and it's controller so that it's full range of movement can be demonstrated.  We will ensure that no one misses inspection, so please feel free to use the practice fields while waiting for the inspection line to get shorter.  We will start skills runs for teams that have completed inspection.

Skills:

Skills will be available all day and you WILL have an opportunity to complete your 3 driving and 3 autonomous runs at some point (without waiting in line!) if you are patient.  If there's a line, please don't make it longer.  Use your time more productively in some other way.

We plan to stop everything for a full event meeting at around 9:15am after all teams have been inspected and this will cause an interruption in skills, so please do not form a long line for the skills fields as you will lose your place at this time.  We'll ask all team members and mentors to find places on the stadium seating or around the main competition fields for this discussion.  Please leave your robots at your tables to avoid any accidents.

Concessions and Lunch:

Concessions will be near the competition area.  Doughnuts & coffee will be available in the morning and we will have various items for sale at lunchtime.  Coffee and variety of hot and cold drinks will be available throughout the day.  If you have any special dietary needs, please let us know and we will do our best to accommodate you. (Kevin Tucker: 206-227-9236 call or text).  We encourage you to take your food out to the outdoor covered, heated area out the West gym doors.

You may bring your own snacks and lunch if you wish, but we will be selling a wide variety of snack food at our event as a fundraiser for our teams.  Thanks for supporting our efforts!

Seating:

We will be providing stadium seating by our tournament fields for spectators. Please avoid standing in areas that will block people's views through you.

Please do not do any coaching of teams from the sidelines.

Assistance/Emergency:

If you have any needs or have an emergency, please talk to someone wearing a volunteer badge and they will immediately help you with any issue that you have.

Code of Conduct:

We will be abiding by the Vex Code of Conduct and we will expect all teams, mentors and spectators to do the same.  This code will be posted visibly around our spaces for reference.

Cleanup:

We will need to clean up the event.  If you'd like to help out, please connect with a volunteer and they'll help you know where things need to go.  We appreciate your help!

Legal stuff:

The event must meet the VEX IQ Qualifying Criteria for the results to upload to RobotEvents, which can be viewed in the Uploaded Documents event tab.  The state qualification spots are determined by the capacity of the State Championship, the number of events in the state, and the size of the event.  If there is an out-of-state/region/province/nation team, or a team that double qualifies from the event (not from previous events or other methods), that spot will go to the next highest unqualified team on the Robot Skills ranking at that event. There is no look-back to previous events to see if a team has previously qualified. These spots will be filled by the Event Engagement Manager after the event has been uploaded and the results have been verified.
