VIQRC Middle School Signature Event 2025!
We are thrilled to welcome you to Bixby, Oklahoma, located in the heart of the United States! FrostByte Frenzy promises to be a fun, challenging, and memorable event for all participants. Our goal is to unite top VEX IQ Robotics teams from around the globe for an exciting, high-level competition that inspires innovation and prepares students for success in the 21st century. This Signature Event is packed with festive surprises and holiday cheer, all while maintaining the intensity and professionalism of world-class robotics competition. Our mission is to deliver an unparalleled experience—one that captures the excitement and energy of VEX Worlds in a friendly, spirited environment.
Our experienced and knowledgeable volunteer staff are dedicated to creating a high-energy, student-focused atmosphere where teams can thrive, collaborate, and celebrate their love of robotics. You may even recognize some familiar faces from the VEX World Championship!

Volunteer
Be a part of the excitement by joining the team of volunteers who will help in a variety of ways to make this event a success for the students involved! You can register for an entire day, or just a portion of the day as your schedule permits for most positions. Lunch is included for all full-day volunteers.
Friday, December 5th

| Certified Ref - All Day | Must be 16 years or older. A certification test is required prior to the event. Help watch the matches and enforce the rules. Prior experience preferred but not required. |
| Judge - All Day |
Must be at least 16 years or older. Prior experience preferred but not required. You must not be affiliated with any team at the event. We will train you on the day of the tournament. |
| Scorekeeper Ref - AM Shift Scorekeeper Ref - PM Shift |
Must be at least 15 years old or older. No prior experience or training required. Assist in scoring the game using a tablet, working in conjunction with the referees. |
| Queuing - AM Shift Queuing - PM Shift |
Must be at least 15 years or older. No prior experience or training required. Help call and organize teams when it is their turn to compete at the fields. |
| Concession - AM Shift Concession - PM Shift |
Must be at least 18 years old or older. Help run the concession stand and/or shirt sales. |
| Pit / Practice Field Monitor - AM Shift Pit / Practice Field Monitor - PM Shift |
Must be at least 18 years or older. Help monitor and enforce the rules of the pits and practice field area. |

Emergency/Bad Weather Policy
Teams will be notified 24 hours prior to the event if there is a weather concern for the event.
Refund and Payment Policies
If the Event Partner cancels the event:
- Teams will be given registration credit towards the 2026 FrostByte Frenzy, or any other event hosted by Bixby Public Schools.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
- No refunds are available should a team cancel or withdrawl.
Please be advised that you will have 3 weeks from the date of your registration to pay. Teams that miss the payment deadline will be moved to the waitlist. If any teams are invited off the waitlist they will be notified, at the earliest, November 5th.

Judging Format

- Digital Engineering Notebook Submissions
- Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents.
- The notebook submission deadline is Friday, November 21, 2025, at 11:59 PM CST.
- In Person Team Interviews:
- Team interviews will be conducted in-person at the event.
- All teams will have the opportunity to be interviewed at least once. Some teams may receive second interviews if the Judges need additional information.
Judges will be working in accordance with the Judge Guide, which states that "All teams being judged for an event should be judged in the same format to ensure consistency in the judging experience."
Please refer to the Guide to Judging for all judging and Engineering Notebook information, criteria, procedures, rubrics, etc.
Signature Event Early Bird Policy

All Signature Events will have a specific Early Bird Registration that is independent of all local/regional Early Bird systems.

Each team starts the season with three (3) opportunities to register during the Signature Event Early-Bird period.

A Signature Event Early-Bird opportunity is not taken away if a team registers for a tournament hosted by their school or organization (where the team’s coach is the Event Partner).

If a team registers during the Standard Registration period, a token is not taken away.

Free Shuttle Information

Teams staying at one of our official hotel properties will have access to a daily shuttle service, free of charge. This shuttle will provide transportation services for team members, coaches, and parents from the following locations:
- Tulsa International Airport → Hotel
- Hotel → Venue
- Venue → Team Social (Friday evening)
- Team Social → Hotel (Friday evening)
- Venue → Hotel
- Hotel → Tulsa International Airport
Teams wishing to utilize this service must submit a short travel information questionaire prior to the deadline. This questionaire will be emailed to you upon registering for the event.
Meal Vouchers

Bixby is proud to offer five different meal options available to team members, coaches, and spectators. Each meal voucher is $10 each and includes an entree, side, and a drink. Plus, if your organization has 10 or more orders for a specific meal time, up to two coaches per organization will receive a free meal voucher.
Friday breakfast, Saturday breakfast ($8 each)
- Option 1: Donut, seasonal fruit, and juice
- Option 2: Bagel, seasonal fruit, and juice
Friday lunch, Friday dinner, Saturday lunch ($10 each)
- Option 1: Chick-Fil-A sandwich, chips, and soda.
- Option 2: Two slices of cheese pizza, chips, and soda.
- Option 3: Deli sandwich, chips, and soda.
- Additional gluten free, vegan, and halal options available upon request
