General Info
Welcome:
Welcome to the VEX IQ Robotics Tournament at The Nysmith School!! We are looking forward to an exciting day of competition.
The Nysmith School is located at 13625 EDS Dr, Herndon, VA
This tournament is a combined Elementary and Middle school event. Robot skills, judged awards, and engineering notebook judging will be available. Please turn in the team’s engineering notebook at the inspection table. Teams with a digital engineering notebook must provide a printed hard copy.
Payment:
Unless a payment date/plan has been pre-coordinated via email with the EP, the registration fee must be paid by midnight 7 November 2025, otherwise, the team will be moved to the waitlist.
Fields:
No practice fields will be allowed in the pit area. However, we will have plenty of practice fields available.
Lunch:
We plan to pre-order lunch for teams that would like to order pizza for lunch. You will receive an order form by 3 Nov 2025. All orders must be submitted and payment received by Tuesday, 17 Nov 2025. A follow-up email will be sent to all registered teams.
Concession:
No concessions will be available. There are several fast-food restaurants in the area, and there are some pizza restaurants in the area that deliver to the Nysmith School.
Participant Consent/Release Form:
A Participant Consent/Release Form must be completed and uploaded for each team participant (students, coaches, and mentors) prior to the event. As a reminder, only those team members and coaches/mentors with a signed Participant Consent/ Release Form will be allowed to participate. Please keep in mind that <S3> in the game manual states: <S3> Each Student Team member must have a completed participant release form on file for the event and season. A Student Team member cannot participate in an event without a completed release form on file.
Please take a few minutes to electronically sign your forms as soon as possible. Keep in mind that once signed, it may take a few days for the Participant Consent/Release Form to be visible to the EP, so please complete your forms well before 15 Nov. Upon arrival, all team members, coaches, and mentors must sign in at the check-in table. The check-in list will identify all participants who have signed forms available online as of Saturday, 15 Nov 2025.

7:00 am – 8:30 am – Check-in, Practice Fields Open
7:15 am - 8:30 Inspections
9:00 am – 9:30 am – Drivers Meeting, Match Schedule Distribution, Practice Fields Closed.
10:00 am – 4:15 pm – Skills Field Open – Max of 3 attempts per type ((Skills fields will close when the last qualification match ends). Practice Fields Open.
10:00 am – 12:15 pm – Qualification Matches
12:15 pm - 1:00 pm – Lunch Break (Skills Fields Closed)
1:00 pm – 4:45 pm – Qualification Matches. Skills Fields close after the last qualification match. If the last qualification match is complete before 4:45 pm, the Skills Fields will close right after the last qualification match, which may be before 4:45 pm.
5:00 pm – 5:30 pm – Finals & Awards
5:30 - 7:00 pm – Event Clean Up

Emergency/Bad Weather Policy
An email will be sent to each team's primary and secondary contact in the event of bad weather. Teams should note that Northern Virginia area weather may differ from other parts of Virginia and should plan accordingly. This tournament will be canceled based on weather conditions in the Northern VA area, Nysmith School closure, or if the sidewalks and parking lots can not be cleared for everyone's safety. If the tournament is not canceled and if a team is unable to attend, refunds will not be offered to no-shows.
Refund and Payment Policies
If the Event Partner cancels the event:
- If the Event Partner cancels the event due to bad weather or unforeseen circumstances, the refund will be based on the amount expended before the day of the event.
If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend:
- No refund will be issued. However, once the event reaches maximum capacity, and if your slot can be filled by a team on the waitlist, we will be happy to refund your registration fee, less $30.00.
Unpaid Teams:
- On 8 November 2025, unpaid teams will be placed on the waitlist, unless a payment date/plan has been pre-coordinated via email with the EP.
