Welcome:
Welcome to Virginia's first VEX IQ tournament for Mix and Match at Woodson High School in Fairfax VA! We are looking forward to an exciting day of competition. The tournament address is 9525 Main St, Fairfax, VA 22031
This will be a combined Elementary and Middle school event. Robot skills, judged awards, and engineering notebook judging will be available. Teams must submit physical engineering notebooks to the judges table by the end of check-in time - 8:30am on Oct 25th 2025.
Our tentative agenda:
7:00 am – Doors Open
7:00 am – 8:30 am – Check-in, Inspections, Practice Fields Open
8:45 am – 9:00 am – Drivers Meeting, Match Schedule distribution
9:30 am – 4:15 pm – Skills Field Open – Max of 3 attempts per type ((Skills fields will close when the last qualification match ends)
9:30 am – 12:15 pm – Qualification Matches
12:15 pm - 1:00 pm – Lunch Break (skills fields closed)
1:00 pm – 4:15 pm – Qualification Matches. Skills Fields close after the last qualification match. If the last qualification match is complete before 4:15 pm, the Skills Fields will close right after the last qualification match, which may be before 4:15 pm.
4:30 pm – 5:00 pm – Finals & Awards
5:00 - 7:00 pm – Event Clean Up
Payment:
Unless a payment date/plan has been pre-coordinated via email with the EP, the registration fee must be paid by October 13th, 2025. If not, unpaid teams will be moved to the waitlist.
Concession:
Concessions and snacks will be available for purchase on-site.
Lunch:
Lunch will be coordinated and available during the event. Coordinating instructions for pre-ordering will be sent at a later date.
Health protocols for this event:
Please visit the Health and Safety Policies information page to stay abreast of any updates to possible health protocols necessary for this event. If anything is required, all teams will be notified.
Participant Release Form:
A Participant Release Form/Consent Form must be completed and uploaded for each team participant (students, coaches, and mentors) prior to the event. As a reminder, only those team members and coaches/mentors with a signed Participant Release Form/Consent Form will be allowed to participate. Please take a few minutes to electronically sign your forms as soon as possible. Upon arrival, all team members, coaches, and mentors must sign in at the check-in table. The check-in list will identify all participants who have signed forms available online as of Saturday, October 25th, 2025. If you have not done so, please take a few minutes to complete the forms as soon as possible.

Emergency/Bad Weather Policy
An email will be sent to each team's primary and secondary contact in the event of bad weather. Teams should note that Northern Virginia area weather may differ from other parts of Virginia and should plan accordingly. This tournament will be canceled based on weather conditions in the Northern VA area and if the Fairfax County Public School closes due to the weather. If a team is unable to attend due to weather, refunds will not be offered to no-shows due to poor weather.
Refund and Payment Policies
If the Event Partner cancels the event:
- If the Event Partner cancels the event due to bad weather, unforeseen circumstances, or COVID restrictions, the refund will be $50 per registered team. This is based on the upfront costs expended before the day of the event.
If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:
- No refund will be issued.
Unpaid Teams:
- On October 13th, 2025, unpaid teams will be placed on the waitlist, unless a payment date/plan has been pre-coordinated via email with the EP.
Judging Format
All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
