General Info

Please join us for our second VEX VIQC Tournament at Hugo A. Owens Middle School School! This is a blended VEX IQ tournament for both Elementary and Middle School teams and will qualify teams for the State Championship.

We will have 1–2 practice fields available in the morning, but these will be converted to competition fields once matches begin. Skills challenges will run until the final qualifying match. Teams are strongly encouraged to bring their own practice fields if possible.

Please note that this event is tentative and may be canceled due to inclement weather or district/school closures.

Payment is due by December 19, 2025. Teams who do not submit payment by this deadline will be moved to the waiting list to allow other teams the opportunity to register.

Pizza lunch order forms will be sent out to coaches 1-2 weeks before the tournament. We will not be able to take lunch orders the day of the tournament.

There will be pizza lunch by the slice available for purchase at the concession stand, along with a variety of bevarage and snack options throughout the event. No outside food or drink is permitted, in accordance with district policy (water is allowed).

Volunteers: This event relies on volunteers to be a success. Coaches, please encourage your students' parents to volunteer througout the day; it is a great way for parents to experience the event, and all full day volunteers will receive a complementary lunch.

Please email EP Caren Daniel [email protected] to volunteer.

We look forward to hosting a fun day of competition!

Emergency/Bad Weather Policy

Hugo A. Owens Middle School follows the Chesapeake Public Schools emergency and inclement weather policies. In the event of severe weather or any district-mandated closures, the tournament may be postponed or canceled for the safety of all participants.

If the event must be canceled due to weather or other emergencies, all registered teams will be notified by email as soon as a decision is made. Updates will also be posted on the RobotEvents listing and other communication platforms associated with the event.

In the event of a cancellation, refunds will be issued to all teams minus the $5 RECF processing fee, which is non-refundable.

Please monitor local weather forecasts and stay alert to updates from the tournament organizer as the event date approaches.

Refund and Payment Policies

No refunds will be issued unless the tournament is canceled due to inclement weather or by the Event Partner for any reason.

In the event of a cancellation, a partial refund of $85 will be provided. This refund will be less the $5 non-refundable processing fee charged by the REC Foundation and will help cover expenses already incurred in preparation for the event.

If a team registers and submits payment but later chooses to withdraw and not attendno refund will be issued, regardless of the reason.

All teams must submit payment by December 19, 2025. Teams who have not paid by this date will be moved to the waitlist, unless alternative arrangements have been made in advance via email with Event Partner Melodie Surratt.

Please plan accordingly, and contact us with any questions or concerns regarding payment.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event.

Teams should bring a physical copy of their notebook to submit to the judges.
