San Marino–Stratford Mix & Match Tournament 

Welcome to the second San Marino Mix & Match Tournament, proudly hosted at Stratford School’s Altadena Allen Campus (2046 Allen Avenue, Altadena, CA 91001). We are excited to partner with Stratford School to bring another day of teamwork, innovation, and creative problem-solving to our VEX IQ community.

This invitation-only event is created to give new and developing teams more opportunities to participate, gain experience, and grow through friendly competition.

Tournament Setup

Teamwork Challenge:
Two full competition fields will be available for the Teamwork Challenge.

Skills Challenge:
One field will be designated for the Skills Challenge.

Blended Event Format

This is a blended event, welcoming both Elementary and Middle School teams. 

Team Interviews (First Round Online)

To streamline the judging process, the first round of team interviews will be conducted online prior to the event. Teams will receive an interview link and appointment time in advance. Additional in-person discussions or clarifications may take place during the tournament day.

Engineering Notebook Submission

Engineering notebooks will be accepted in digital format only. Teams maintaining physical notebooks should scan and upload them as a single PDF through the REC Foundation system, accessible via the My Account panel of the team contact on RobotEvents. Please submit by the stated notebook deadline to ensure your entry is reviewed.

Lunch Arrangements

Lunch will not be provided at this tournament. Teams are encouraged to coordinate their own meals and plan ahead to stay prepared and energized throughout the competition day.

Agenda

  • 8:30 AM: Doors Open: Volunteers Check-In

  • 9:15 - 9:45 AM: Team Check-In
    • All teams must check in during this time.
  • 9:45 - 10:00 AM: Drivers Meeting
    • Important information for all drivers.
  • 10:00 AM - 12:30 PM: Teamwork Challenge Matches
    • Teams compete in the first round of matches.
  • 12:30 - 1:15 PM: Lunch Break
    • Teams and volunteers should plan their own lunch arrangements.
  • 1:15 - 2:45 PM: Teamwork Challenge Matches
    • Continuation of the teamwork challenges.
  • 3:00 - 4:00 PM: Finals & Awards
    • Finals matches followed by the awards ceremony.
  • 4:30 PM: Event Concludes
    • Doors close.

Emergency/Bad Weather Policy

In case of emergency or severe weather conditions that make it unsafe or impossible to hold the event:

  • The Event Partner will notify all registered teams via email and RobotEvents as soon as possible.

  • If the event is canceled, teams will receive a refund of the event fee (minus the non-refundable REC Foundation fee).

  • If the event is rescheduled, teams will have the option to transfer their registration to the new date or request a refund.

  • Teams are responsible for their own travel and accommodation arrangements. The Event Partner is not liable for any costs incurred due to event changes or cancellations.

Refund and Payment Policies

If the Event Partner cancels the event:

  • All registered teams will receive a full refund of event fees (minus the non-refundable REC Foundation fee).

  • Refunds will be processed within 2 weeks of cancellation.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

  • Refund requests submitted at least 3 weeks before the event date will receive a refund of the event fee (minus the non-refundable REC Foundation fee and a $10 processing fee per team).

  • Refund requests submitted within 3 weeks of the event date are not guaranteed and will be considered on a case-by-case basis.

  • No refunds will be issued for teams that do not show up on the day of the event.

Payment Notes:

  • Registration fees must be paid in full through RobotEvents.com before the team can be officially added to the event.

  • Teams that have not completed payment at least 2 weeks prior to the event will be moved to the waiting list, and their spots may be offered to other teams.

Judging Format

 

  • Remote Initial Team Interviews / In-Person Engineering Notebooks: Initial Team Interviews will be conducted remotely, possibly before the date of the event. Engineering Notebooks will still be submitted in person the day of the event to be evaluated by judges.
