Welcome to MIX & MATCH WEEKEND AT THE WATERWAYS VEX IQ Robotics Competition We are excited to welcome everyone back for the 2025-26 season.  As always, we will try to run a fun and relaxed event.  

Registration Information

All participating teams must be registered with VEX Robotics and the Robot Events website and have an official team number before registering for this event. Tournament fees must be paid by November 5th, 2025. Any team that is not paid by November 5th, 2025 will be placed on a waiting list. Registration and payments should be made through the Robot Events website.

Volunteers are welcome.

Engineering notebooks

We will be collecting Physical engineering notebooks at this event for judging. If you have a digital engineering notebook please print and bring a hard copy with you.

Lunch and Concessions

Concessions and lunch will be offered throughout the day. Hot Dogs, Sloppy Joe's, Pop, Baked Goods, and chips will be available.

Finals Matches

Up to 26 teams will be paired up and top qualifiers will participate in the Finals.

Competition Preparation

All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared.

 

Review all game information: Current Game Webpage

  1. Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. Robots must use VEX IQ parts. Please self inspect before arriving at the tournament using the IQ Robot Inspection Checklist

  2. Check the official Q&A for rule updates and changes.

  3. Carefully read all of the information contained in the tournament posting on robotevents.com

  4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.

    • Spare parts & tools

    • Batteries and chargers

    • Power strip and extension cord

    • Laptop computer

    • Programming cable

    • Engineering notebook (Required for judged awards)

    • Banners and other decorations for your team pit table

    • Giveaways if you have them

  5. Be sure to read 101 Things You Should Know Before Your First VEX Tournament.

  6. Review the descriptions and criteria for the awards that are being given during the tournament.

  7. Prep for your interviews with the judges and read the Judge's Guide. Check the awards tab to see what awards will be given during the tournament.

  8. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby, as teams are close to each other in the venue pit area. Also, remember no grinding or other actions that create sparks, ask the tournament director for a safe location if grinding is needed.

  9. Ensure that you have the latest version of programming software and firmware for your IQ Brain.

Participation and Consent Form

A completed form for all participants must be uploaded to robotevents.com prior to the tournament. Team leaders will need to check that all team members attending the event have completed the online consent form prior to the tournament. Doors Open at 8:30 a.m.

Check in and inspections: 8:45 a.m. to 9:45 a.m.

Opening and Drivers meeting at 10:00 a.m.

Skills open 8:30 a.m.

Qualification Matches begin at 10:00 a.m.

Lunch 12:00 p.m. to 12:45 p.m.

Skills 12:45 p.m. until the end of Qualification Matches. 

Qualification Matches 12:45 p.m. to 3:00 p.m.

Finals 3:30 to 4:00 p.m.

Volunteer

Volunteers are always welcome and greatly appreciated! All volunteers are trained at the event, so there is no prior experience required. Some roles are for adults only, but many are open to students. All volunteers will be provided free lunch and drinks.

Students can earn community service hours for volunteering at the event! Students must bring a physical copy of their school's service hour form to the event to be signed by the Event Partner.

Emergency/Bad Weather Policy

In the event of an emergency cancellation or other change in plans, teams will be notified via the team contact information available through RobotEvents. Please check to insure contact emails and phone numbers are correct and up-to-date.

Refund and Payment Policies

If the Event Partner cancels the event: 

Refunds will only be made if the event is canceled. Refunds will not include the $5 processing fee assessed by Robot Events for processing.

If a Coach/Mentor completes registration for the event and then chooses to withdraw or not attend:

Registrations will not be refunded for teams that register but choose not to come. Any team unpaid by payment November 5, 2025 will be removed from the registered team list without notification and placed on the waiting list.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in person during the event.

  • All teams will receive at least one interview in their pit.
  • ALL notebooks must be turned on Saturday morning by the close of morning Check-In, DO NOT TURN IN NOTEBOOKS FRIDAY NIGHT; only physical notebooks will be accepted - no digital links, thumb-drives, or QR codes will be accepted. 
  • Every team gets an interview!  Prepare your team by looking over the questions in the Guide to Judging. All teams will be asked the same (3-5) questions for the initial interview. Interviews will last no more than 13 minutes giving every team equal access to the judges.
