Volunteer

- Each team is required to provide at least one volunteer.

- Volunteers can include instructors, parents, relatives, friends, or siblings of team members.
- As the event date approaches, the event headquarters will contact volunteers with their assigned roles.

In the event of severe weather, earthquakes, or other circumstances that may disrupt transportation, the event may be canceled. In case of an emergency, the situation will be posted on the homepage. Additionally, we will contact the teams through the information registered on their events.vex.com accounts, so please ensure that your team's contact information is up to date.

悪天候や地震などが原因で、交通機関が麻痺する場合は、イベントを中止する可能性があります。緊急事態の場合、トップページに状況を掲載します。また、events.vex.comアカウントに登録されているチームの連絡先に連絡をするので、チームの連絡先情報が最新かどうかを確認してください。

Refund and Payment Policies

Team Withdrawal and Refund Policy

- More than 30 Days Notice: Teams providing an official written withdrawal letter more than 30 days prior to the event start date will receive a full refund.
- 30 Days or Less Notice: Withdrawals requested 30 days or less prior to the event start date are not eligible for a refund due to advanced scheduling commitments.
- Absence Without Notice: If a qualified team fails to appear for the event without prior official written notice, the registration fee is forfeited.
- On-Site Non-Participation: Teams that arrive at the venue but subsequently choose not to participate in the matches remain ineligible for a refund.
- Code of Conduct Violations: If a team is disqualified or prohibited from participating due to regulatory violations, no portion of the registration fee will be refunded.

チーム辞退および返金ポリシー

・大会開始日の31日前までに辞退する場合：大会開始日の31日前までに正式な辞退届（書面）をご提出いただいた場合、参加費を全額返金します。
・大会開始日の30日前以降に辞退する場合：大会開始日の30日前以降の辞退については、大会運営準備が進んでいるため、参加費は返金されません。
・無断欠席の場合：正式な辞退届（書面）の提出がないまま大会を欠席した場合、参加費は返金されません。
・会場到着後に参加を辞退した場合：会場に到着した後、自らの判断で試合への参加を辞退した場合も、参加費は返金されません。
・行動規範または競技規則違反による参加資格の喪失：行動規範や競技規則への違反により失格または参加禁止となった場合、参加費は一切返金されません。

Judging Format

The Engineering Notebook will be evaluated only on competition day. Engineering notebooks will be submitted digitally for evaluation via a link in the "My Account" panel of the team contact on events.vex.com. The submission deadline is Friday, November 27, 2026, 18:00 Japan Standard Time.

After the submission deadline, the Judge Advisor will download the submitted Digital Engineering Notebooks for evaluation. Teams may continue to update their notebooks after the deadline; however, only the version downloaded by the Judge Advisor will be used for judging.

Teams can participate in this event without an Engineering Notebook and still be interviewed, but the Team will not earn any top judged awards. For the most current award descriptions and judging criteria, please check

Late submissions or failure to submit the Engineering Notebook digitally will not be entertained. Please refer to the Refund Policy on Team withdrawal cases.

Team interviews will be conducted in-person at the event. Each Team can bring their own physical engineering notebook as a presentation tool during the interview.

エンジニアリングノートブックの審査は、大会当日に実施されます。エンジニアリングノートブックは、events.vex.com のチーム連絡担当者（Team Contact）の「My Account」からデジタル形式で提出してください。提出期限は、2026年11月27日（金）18:00（日本標準時）です。

提出期限後、Judge Advisor が提出されたデジタル・エンジニアリングノートブックをダウンロードして審査を行います。なお、提出期限後もシステム上はエンジニアリングノートブックを更新できますが、それらの更新内容は審査には反映されません。

エンジニアリングノートブックを提出しなくても大会への参加およびチームインタビューを受けることはできますが、チームは主要なジャッジアワードを受賞することはできません。最新のアワード説明および審査基準については、https://library.globalrobotics.org/hc/en-us をご確認ください。

提出期限後の提出や、エンジニアリングノートブックをデジタル形式で提出しなかった場合は受け付けられません。チームの参加辞退については、「チーム辞退および返金ポリシー」をご確認ください。

チームインタビューは大会会場で対面にて実施されます。各チームは、インタビュー時の説明資料として紙のエンジニアリングノートブックを持参することができます。

Student-Centered Zone

At YSE-hosted competitions, we designate a ""Student-Centered Zone."" Within this zone, coaches, mentors, parents, and other adults are asked not to remain in the pit area for more than five minutes.
This zone is not required by the official competition rules. Rather, it is a YSE event policy established in support of the Student-Centered philosophy that underpins the VEX Robotics Competition. To learn more about the Student-Centered philosophy, please click here.

We ask all adults to support students in accordance with the Student-Centered philosophy by respecting their independence and ownership of the learning process. In particular, adults must not interfere with student learning by making robot adjustments, modifying programs, or otherwise taking over tasks that should be completed by students. If inappropriate adult involvement is observed, event staff may report the incident to the Judge Advisor (or to the Head Referee or Event Partner at events without judging), which may affect the team's evaluation. Furthermore, if a team fails to correct its behavior after being warned by event staff, the team may be disqualified (DQ) and may lose its eligibility to continue competing, even after the event has begun.

YSE introduced the Student-Centered Zone because we have found that the Student-Centered philosophy is not always fully understood. When adults remain in the pit area for extended periods, opportunities for students to collaborate, communicate, and solve problems independently can be diminished. By establishing the Student-Centered Zone, we hope to encourage a deeper understanding of this philosophy while fostering a learning environment where students can take ownership of their own growth and development.

YSEが主催する競技会では、「Student-Centered Zone」を設けています。このゾーンでは、コーチや指導者、保護者などの大人がピットエリアに5分以上滞在することを制限しています。
このゾーンの設置は公式ルールで定められたものではありませんが、VEX Robotics Competitionが掲げるStudent-Centeredの理念に基づき、YSE独自の運営方針として設けています。Student-Centeredの考え方についてはこちらをご覧ください。

大人の皆さまには、Student-Centeredの理念に従い、子どもたちの自主性を尊重したサポートをお願いしています。特に、大人がロボットの調整やプログラミングの変更など、子どもたちの学習プロセスを妨げる行為は禁止されています。不適切な介入が確認された場合、運営スタッフからジャッジアドバイザー（ジャッジングがない場合はヘッドレフリーまたはイベントパートナー）へ報告され、チームの評価に影響を及ぼす場合があります。さらに、運営スタッフから注意を受けても改善が見られない場合は、該当チームを失格（DQ）とし、競技途中であっても参加資格を失う場合がありますので、十分ご注意ください。

この取り組みを導入した背景には、Student-Centeredの理念が十分に理解されていないケースが見受けられることがあります。競技中に大人がピットエリアへ長時間滞在することで、生徒同士の交流や主体的な問題解決の機会が損なわれることを防ぐため、YSEでは「Student-Centered Zone」を設けています。この取り組みを通じて、Student-Centeredの理念への理解を深めるとともに、生徒一人ひとりの主体的な学びを促進したいと考えています。
