Volunteer

We are seeking volunteers to serve as field resetters, judges, and scorekeeper referees for the upcoming competition. If you would like to volunteer, please contact Terence Chan at [email protected].

Roles

Field Resetter: Sets up, clears, and resets the competition field or game arena between matches to keep the event running on schedule.

Judge: Evaluates participant performances, builds, or submissions according to official scoring criteria to determine rankings and awards.

Scorekeeper Referee: Monitors active gameplay to enforce rules, observe fair play, and directly track, record, and verify official match scores.

我們正在招募義工擔任即將舉行的賽事之賽場重置員（Field Resetter）、評審（Judge）及計分裁判（Scorekeeper Referee）。如欲報名成為義工，請電郵至 [email protected] 與陳先生（Terence Chan）聯絡。

工作職責

• 賽場重置員 (Field Resetter)： 負責在每場比賽之間設置、清理及重置競賽場地或遊戲區域，確保賽事順暢並按時進行。

• 評審 (Judge)： 根據官方評分標準，對參賽者的表現、作品或提交的資料進行評估，以決定排名及獎項。

• 計分裁判 (Scorekeeper Referee)： 監察比賽進行，執行賽事規則並維持公平競爭，同時直接追蹤、記錄及核實官方比賽分數。

義工福利：

• 獲發官方活動義工 T 恤及工作證

• 當值期間獲提供免費膳食及飲品

• 完成服務後獲頒官方服務證書

• 與機器人專家、評審及大學代表交流建立網絡的機會

Emergency/Bad Weather Policy

If the Hong Kong Observatory issues a Black Rainstorm Warning Signal or a Tropical Cyclone Warning Signal No. 8 or above (or announces that Signal No. 8 will be issued within the next two hours) two hours or more before the start of the day’s activities, the event scheduled for that day will be canceled or postponed.

If the relevant warning signal is canceled, the event may resume approximately two hours after the cancellation announcement, subject to venue and traffic conditions. Please closely monitor the latest announcements from the Event Partner and the Hong Kong Observatory.

If a Tropical Cyclone Warning Signal No. 8 or above is issued after the event has started, the event will be suspended immediately and all persons will be arranged to leave the venue in an orderly manner.

If a Black Rainstorm Warning Signal is issued after the event has started, the event may continue indoors if conditions inside the venue are safe. The Event Partner will make the final decision based on safety considerations.

In the event of severe weather, earthquakes, or other unforeseen circumstances that may disrupt transportation or pose safety risks, the event may be canceled or postponed. Any emergency announcements will be posted on the event homepage. We will also contact teams using the information registered on their events.vex.com accounts. Please ensure that your team’s contact details are up to date.

緊急情況及惡劣天氣安排

如香港天文台在當日活動開始前兩小時或更早發出黑色暴雨警告信號或八號或以上熱帶氣旋警告信號（或宣布將於兩小時內發出八號信號），當日活動將會取消或延期。

如相關警告信號取消，活動有可能於取消信息公佈後約兩小時恢復進行（視乎場館及交通情況）。請密切留意賽事夥伴及香港天文台的最新公布。

如八號或以上熱帶氣旋警告信號於活動進行期間發出，活動將立即暫停，並安排所有人士有序離開場館。

如黑色暴雨警告信號於活動進行期間發出，若場內情況安全，活動可繼續在室內進行。最終決定權由賽事夥伴根據安全情況作出。

如遇嚴重天氣、地震或其他可能影響交通或構成安全風險的突發情況，活動有可能取消或延期。緊急情況將於活動主頁公布。我們亦會透過隊伍在 events.vex.com 帳戶登記的資料聯絡各隊，請確保隊伍的聯絡資料保持最新。

Refund and Payment Policies

If the Event Partner cancels the event: fee will be fully refunded.

If the Event Partner cancels or postpones the event due to major factors such as natural disasters or adverse weather, refunds will be issued.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: will not refund the registration fee.

Teams must submit consent forms for all attendees, including but not limited to coaches, students, and parents, before the Registration Deadline. Failure to do so will result in the team being moved to the waitlist, and no refund of the registration fee will be provided.

After receiving your form, we will send an invoice with payment instructions. Payment is due within two weeks of the registration date. Teams that fail to meet this deadline will be moved to the waitlist. 

付款及退款政策

如賽事夥伴取消活動：費用將全額退還。

如賽事夥伴因自然災害或惡劣天氣等主要因素取消或延期活動，費用將全額退還。

如教練／導師完成報名後選擇退出或未能出席：報名費用將不予退還。

隊伍必須在報名截止日期前，為所有出席人士（包括但不限於教練、學生及家長）提交同意書。未能按時提交者，隊伍將被移至等候名單，且報名費用將不予退還。

收到您的表單後，我們將傳送包含付款費用的發票與說明。付款截止日期為報名日期起計的兩週內。未能在期限內完成付款的隊伍，將被移至候補名單。

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews:

Engineering notebooks will be submitted digitally for evaluation via a link in the "My Account" panel of the team contact on events.vex.com. The submission deadline is 11 December, 2026, 23:59 UTC+8.

We recommend teams upload their Engineering Notebook as a PDF to Google Drive. If a team intends to use any other platform, please contact the Event Partner before submitting the Digital Engineering Notebook. Failure to report may be deemed as no submission.

Late submissions or failure to submit the Engineering Notebook digitally will not be entertained. Please refer to the Refund Policy for team withdrawal cases.

The Judge Advisor will download the Digital Engineering Notebooks for evaluation after the submission deadline, but will not prevent teams from continuing to update their Digital Engineering Notebooks.

Please ensure the shared link is open, does not require a password or access rights, and is downloadable. Test the link in an incognito/private window before submitting.

Teams can participate in this event without an Engineering Notebook and still be interviewed, but the Team will not earn any top judged awards. For the most current award descriptions and judging criteria, please visit library.globalrobotics.org.

Team interviews will be conducted in-person at the event. Each Team can bring their own physical engineering notebook as a presentation tool during the interview.
