General Info

Hello everyone,

Welcome to the Yokota Air Base VEX IQ Robotics Competition 2027!

We are excited to host this VEX IQ Robotics Competition inside Yokota Air Base in Fussa, Tokyo.

This event is an official National Robotics Championship (NRC) Qualifying Tournament. Eligible teams may earn a qualification to the National Robotics Championship (NRC).

Please review the following information carefully.

1. Consent Form

All participants (including students, coaches, parents/guardians, and volunteers) are required to complete the Consent Form before the event.

The Consent Form contains important information regarding safety, liability, media release, and eligibility requirements.

Participants under the age of 18 must have the Consent Form approved by a parent or legal guardian.

Teams that have not submitted the required Consent Forms will not be permitted to participate in the event.

2. Yokota Air Base Access

Because Yokota Middle School is located inside Yokota Air Base, all participating teams must complete the required base access procedures in advance.

Only adults who will enter Yokota Air Base with the team need to be registered for base access. Students participating on the team do not need to be listed, regardless of nationality.

The team coach or a designated representative must submit one Base Access Registration Form covering all adults who will enter the base with the team, including coaches, parents/guardians, volunteers, and other accompanying adult visitors.

For base access, the following identification documents are required:

  • Japanese adults: Passport, or driver's license if they do not have a passport.

  • Non-Japanese adults: Passport and Japanese Residence Card.

Copies of the required identification documents must be uploaded through the Base Access Registration Form. All registered adults must also bring the same identification document(s) with them when entering Yokota Air Base on the day of the event.

Base access procedures may vary depending on nationality, and additional information or documentation may be required. Please complete the registration as early as possible, as the approval process may take several weeks.

[Base Access Registration Form]

On Saturday, January 16, visitors must enter Yokota Air Base through the designated gate based on their mode of transportation:

  • Arriving by car: Please enter through the Fussa Gate.

  • Arriving by bus: Please enter through the Terminal Gate (Gate 12).

  • Arriving by train: Please walk from Fussa Station to the Fussa Gate.

All visitors must be met and escorted while on Yokota Air Base.

If you have any questions regarding Yokota Air Base access, please contact:

To help operate the tournament, each team is required to provide at least one volunteer.

Volunteers may be coaches, parents, family members, friends, alumni, or other supporters.

Please register your volunteer using the Volunteer Application Form below:

[Volunteer Application Form]

Because this event will be held inside Yokota Air Base, all volunteers entering the base must also be included in the team's Base Access Registration Form. The team's coach or designated representative is responsible for submitting the Base Access Registration Form. Volunteers should not submit the Base Access Registration Form individually.

As the event approaches, the Event Partner will contact registered volunteers regarding their assigned roles.

4. Engineering Notebook

The Engineering Notebook is an important part of the judging process at all tournaments.

Digital Engineering Notebooks must be submitted by Saturday, January 9, 2027, at 6:00 PM (Japan Standard Time).

After the submission deadline, the Event Partner will download all submitted Engineering Notebooks and distribute them to the judges for evaluation. Engineering Notebooks uploaded after the deadline will not be considered for judging.

Please review the Judging Format section on this event page for additional information regarding Engineering Notebook submission and judging.

5. Registration Fee

The tournament registration fee is JPY 22,000 per team.

Please review the payment details and pay the registration fee using the Payment Link provided on the event page.

Teams on the Waiting List should not make a payment.

6. Official Rules

All teams are expected to review the latest Game Manual and the official Q&A before attending the event.

Like the National Robotics Championship, this tournament will be conducted in accordance with international VEX Robotics Competition standards.

If you have any questions, please feel free to contact us.

We look forward to seeing you at Yokota Air Base.

Student-Centered Zone

At YSE-hosted competitions, we designate a Student-Centered Zone. Within this zone, coaches, mentors, parents, and other adults are asked not to remain in the pit area for more than five minutes.
This zone is not required by the official competition rules. Rather, it is a YSE event policy established in support of the Student-Centered philosophy that underpins the VEX Robotics Competition. To learn more about the Student-Centered philosophy, please click here.

We ask all adults to support students in accordance with the Student-Centered philosophy by respecting their independence and ownership of the learning process. In particular, adults must not interfere with student learning by making robot adjustments, modifying programs, or otherwise taking over tasks that should be completed by students. If inappropriate adult involvement is observed, event staff may report the incident to the Judge Advisor (or to the Head Referee or Event Partner at events without judging), which may affect the team's evaluation. Furthermore, if a team fails to correct its behavior after being warned by event staff, the team may be disqualified (DQ) and may lose its eligibility to continue competing, even after the event has begun.

YSE introduced the Student-Centered Zone because we have found that the Student-Centered philosophy is not always fully understood. When adults remain in the pit area for extended periods, opportunities for students to collaborate, communicate, and solve problems independently can be diminished. By establishing the Student-Centered Zone, we hope to encourage a deeper understanding of this philosophy while fostering a learning environment where students can take ownership of their own growth and development.
We sincerely appreciate your understanding and cooperation.
