General Information for the Southern Regional Championship Season 24-25

Date: February 8th - 9th, 2025 Time: 8:00 AM to 4:00 PM (GMT+7) Location: Middle School Gym, Middle School Building

Event Overview

This event is a regional championship event of 2024-2025 Season in Viet Nam. For High School, The excellence award will earn their slot at VEX Worlds. For Middle School, only the excellece award will secure a spot.

What to Bring

  • Robot: Ensure your robot is fully assembled and ready to compete.
  • Game Manual: Have your team's game manual on hand for reference.
  • Tools: Bring any necessary tools for making last-minute adjustments to your robot.
  • Safety Gear: Teams should wear their safety goggles when operating with tools and robots.

Time Activity Details
Day 1: Saturday (7:00 AM - 5:00 PM)    
7:00 AM - 8:00 AM Team Check-In & Inspections Teams arrive, check in, and complete inspections.
8:00 AM - 8:15 AM Opening Ceremony Welcome speech, introduction, and briefings.
8:15 AM - 11:00 AM Practice Matches & Inspections Each team plays 2 matches (~45 matches total).
11:00 AM - 11:15 AM Driver’s Meeting Overview of rules, expectations, and procedures.
11:15 AM - 12:30 PM Qualification Matches ~22 matches (~2 matches per team).
12:30 PM - 1:00 PM Lunch Break Teams break for lunch.
1:00 PM - 5:00 PM Qualification Matches & Skills ~56 qualification matches (~4 per team) and Skills Challenge opens.
Day 1 Total: ~78 matches Teams play ~6 matches total.
     
Day 2: Sunday (7:00 AM - 2:00 PM)    
7:00 AM - 8:00 AM Team Check-In & Teams arrive and prepare fields.
Morning Setup
8:00 AM - 10:00 AM Qualification Matches ~12 matches (~1 match per team).
10:00 AM - 12:00 PM Alliance Selection Teams select partners for elimination matches.
  (If odd number, 1 team will be eliminated).
12:00 PM - 12:30 PM Lunch Break Teams break for lunch.
12:30 PM - 1:30 PM Elimination Matches Single-elimination bracket.
1:30 PM - 2:00 PM Awards Ceremony Presentation of trophies and recognition.
     
Skill Fields will open as soon as the teams pass their inspection and will be conlcuded at the end of the last qualifying match. 
     
Skills Fields will be available at all time except for Lunch Break.

Emergency/Bad Weather Policy

In the event of an emergency or severe weather conditions, the following policies will be implemented:

Cancellation

  • Extreme Weather: If the local authorities issue a severe weather warning or if conditions pose a safety risk, the scrimmage may be canceled or postponed.
  • Emergency Situations: In the event of an emergency (e.g., power outage, natural disaster), the event may be canceled or postponed.

Postponement

  • Rescheduling: If the scrimmage is postponed, we will make every effort to reschedule the event as soon as possible.
  • Communication: Participants will be notified of any changes through email or other communication channels.

Safety Protocols

  • Evacuation Plan: We have an emergency evacuation plan in place. In case of an emergency, all participants will be guided to a safe location.
  • First Aid: First aid kits will be available on-site. In case of a medical emergency, please inform a staff member immediately.

Refund and Payment Policies

If the Event Partner Cancels the Event

If the event is canceled by the event partner, all registered participants will be eligible for a full refund of their registration fees. Refunds will be processed within [number] business days of the cancellation announcement.

If a Coach/Mentor Completes Registration and Withdraws

  • Before the Registration Deadline: If a Coach/Mentor withdraws from the scrimmage before the registration deadline, they will be eligible for a full refund of their registration fees.
  • After the Registration Deadline: If a Coach/Mentor withdraws from the scrimmage after the registration deadline, they will not be eligible for a refund unless there are extenuating circumstances. In such cases, please contact the event organizers to discuss the possibility of a refund.

Please note that refund requests must be submitted in writing to huvu within 1 days of the event cancellation or withdrawal.

Judging Format

 

  • All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
