General Info

This is a Middle School School in-person event! Any spots not filled by Delaware teams 2-week prior to the event will be offered to teams on the waitlist in order of the date/time they were added to the list.

We cannot run events without dozens of volunteers.  We respectfully request that every team attending the event provides AT LEAST one full-day volunteer to ensure the event runs smoothly.  Find out more on the ‘Volunteer’ tab.

Please be sure to read all of the event information contained on the Robot Events page.  Some important highlights:

  • All teams participating in this event are expected to follow the RECF Student Centered Policy (https://vrc-kb.recf.org/hc/en-us/articles/9654578622487-Student-Centered-Policy) - NO adult designed, built, or programmed robots.  Teams found to be violating the student-centered policy will be submitted to RECF for review and the outcome of that review may impact ability to participate in future events.
  • This event has Early Bird Registration enabled. Please see this link for more information.
  • There will be a snack bar with breakfast and lunch items, drinks and snacks.  We will send out whole pizza pre-order information as we get closer to the event.
  • We ask for you to make payment at the time of the event registration.  Teams not paid one week prior to the event will be moved to the wait list and risk not having a spot in the competition.  If you are paying by PO that you expect to take longer than the deadline, please reach out to us!
  • Teams canceling prior to the registration closure date and notifying the event partner via email by the registration closure date will receive a full refund (minus the $5 RECF fee).
  • Registered teams that are a no-show for the event are still responsible for payment of event registration fees, and will be expected to pay event entry fees at the time of registration for any future events.

This event will use V5 Smart Field Controllers. Teams must be sure to associate their team number with their brain, and updated to the latest V5 firmware using VEXCode.

Volunteer

We can not run events without volunteers.  We ask that every team attending the event provides AT LEAST one full-day volunteer!

NO EXPERIENCE IS NECESSARY!  We have plenty of entry level roles (but we also need some volunteers who are experienced with the events, of course).

Please visit the following link to view and sign up for volunteer positions - https://www.signupgenius.com/go/10C0549AFAB2FA3FAC70-61562345-delmarva.

In addition to general volunteers, we need judges. Information about judge volunteers can be found on the main signup but can also be accessed via this direct link - https://www.signupgenius.com/go/10C0549AFAB2FA3FAC70-61555054-2026#/

Please contact Elaine McDonald at [email protected] with any questions.

Emergency/Bad Weather Policy

We monitor the weather closely.  In the event of a weather event, we will communicate as much as possible with the teams!

Refund and Payment Policies

If the Event Partner cancels the event:

Full refunds will be issued.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

  • Teams canceling prior to the registration closure date AND notifying the event partner via email by the registration closure date will receive a full refund (minus the $5 RECF fee).
  • Registered teams that are a no-show for the event are still responsible for payment of event registration fees, and will be expected to pay event entry fees at the time of registration for any future events.  No refunds are provided for no-show teams, or teams that cancel after the registration deadline.

Webcast

We are planning on providing a livestream of the event - https://www.youtube.com/watch?v=mkhS-Cj0Xps

Judging Format

Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents. Notebook links should be submitted no later than 10 pm on February 15th.

In order to provide judging for this event we need to receive enough volunteers. Information about judge volunteers can be found at the following link - https://www.signupgenius.com/go/10C0549AFAB2FA3FAC70-61555054-2026#/
