General Info

The WW Lewis Rebel Robotics teams are excited that you will be competing at our annual WW Lewis Middle School Only tournament! Here are the basics of how the tournament will run:

1) We will be judging digital notebooks only for this event. All that is needed to submit the digital notebook is a live link with open access (no passwords), which can be submitted through RobotEvents. If your students opt to do a paper notebook, you can use the "Office Lens" app to take photos and save as a PDF, then share via Google Drive/OneDrive. There are other apps available that can carry out this same task, so use whatever method works best for you. If I can help or be of assistance, please reach out. Please have all digital notebooks uploaded no later than Friday January 23, so my judge advisor can verify that all links are accessible before competition day. 

2) We will be using Smart Field Control, so please make sure your teams have their team numbers programmed correctly into their robot brains. This will be checked at inspection.

3) Please help support our robotics team by purchasing items from our concession stand. The menu will be emailed the week before the event.

Waitlist - For this event, organizations are welcome to sign up as many teams as they would like, but any teams after 4 will be put on the Waitlist and moved to Registered/Competing Teams based on available spots once registration closes. 

Check List -

1.  Review the rules and run through the inspection checklist about a week before the competition so that there is ample time for adjustments. The inspection checklist can be found HERE

2. Check the official VEX forums for rule updates and changes. HERE

3. Carefully read all of the information contained in the tournament posting on RobotEvents.com 

4. Pack for the event the day before the day of departure. Here are a few items that you don't want to forget: 

  • Goggles/Safety Glasses 
  • Spare parts & tools 
  • Batteries and chargers 
  • Programming cable 
  • Power strip 
  • Laptop computer 
  • Engineering notebook (if you have one, helpful for Judges, Design and Excellence Awards) 
  • Banners and other decorations for your team pit 
  • Giveaways if you have them 

5. Be sure to read 101 Things You Should Know Before Your First VEX Tournament.  

6. Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks. 

7. Understand how the game will be played. VEX participants are more than welcome to watch the referee training videos before they attend a tournament. 

8. Read through the Robot troubleshooting guide.

Agenda

We plan to finish at 4:30pm with an hour break for lunch.  If we are running behind, lunch will be shortened.  Note that if the judges are trying to interview you and you are not available, they will leave a tag so you can call them back for an interview.  (All interviews must be completed by the end of lunch.)   

7:00am - Volunteers Arrive

7:30am - Venue Open/Pits Open 

8:00am - Check-In/ Inspection (Must be checked in by 8:45) 

9:00am - Drivers/Coaches Meeting 

9-12:00 - Skills Challenge Opens (3 Driver and 3 Programming Attempts Max, Judging and Team Interviews Begin) 

9:00am - Begin Qualification Rounds 

12:00-1:00pm -  Lunch, please support our teams by purchasing your lunch with us.   

1:00pm - Resume Qualification Rounds 

3:00pm - End Qualification Rounds and Skills closes

3:15pm - Alliance Selection 

3:30pm - Elimination Rounds Begin 

4:30pm - Awards Ceremony 

5:00pm - Venue Closes

Volunteer

Event volunteers are the heart and soul of VEX competitions.  We rely on Referees to keep things fair, Emcees to keep things exciting, and Queuers to keep things on schedule! Volunteering at a VEX competition is easy to learn, fun to do, and rewarding for everyone involved. Please click on the link below for more information on volunteer roles.

Each team is asked to supply at least one adult volunteer for the day of the events. If you have more that are willing, please reach out for more information. Each school/organization will be required to sign up one student volunteer to help reset the fields. (Check for shift availability) If you have someone that wants to get certified or trained for ref, judge, or TM, let me know and we can set up training sessions.

Emergency/Bad Weather Policy

In the event of an emergency or bad weather, the event may be cancelled. In any event, teams will be contacted as soon as possible with the information. The event partner will contact teams if the event must be postponed. Teams should make sure their contact information is up to date and includes both school and non-school phone numbers. Please check your email the day before and the morning of the tournament (before leaving). 

Refunds will not be offered unless the entire tournament is canceled.

Refund and Payment Policies

If the Event Partner cancels the event: 

Refunds will be offered less the $5 accounting fee charged by the REC Foundation.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

No refund will be offered

Judging Format

 

  •  Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation  via a link found within the "My Account" panel of the team contact on RobotEvents. A submission deadline that may be scheduled ahead of the event date.
