General Info
Competition Preparation
- Only one coach is allowed in the pit area and must be identified by a nametag which will be handed out at registration.
- Students must have a participation form on file.
- Review the rules and run through the inspection checklist a week before the competition so that there is ample time for adjustments.
- All team members must be checked in before completing robot inspection.
- Check the official VEX forums for rule updates and changes.
- Carefully read all of the information contained in the tournament posting on RobotEvents.com
- Pack for the event the day before the day of departure. Here are a few items that you don't want to forget.
- Robot
- Goggles/Safety Glasses (optional for VEX IQ)
- Spare parts & tools
- Batteries and chargers
- Programming cable
- Power strip
- Laptop computer
- Engineering notebook (if you have one, helpful for Judges, Design and Excellence Awards) Deadline to upload digital copy of engineering notebook is the Wednesday before the event at 6:00 PM.
- Banners and other decorations for your team pit
- Giveaways if you have them
- Be sure to read 101 Things You Should Know Before Your First VEX Tournament.
- Review the descriptions and criteria for the awards that are being given during the tournament.
- Prep for your interviews with the judges.
- Remember that safety comes first, please don't bring tools that pose a safety risk to your team, or others nearby as the venue is a very tight fit. Also, remember no grinding or other actions that create sparks.
- Understand how the game will be played. VEX participants are more than welcome to watch the referee training videos before they attend a tournament.
- Read through the Robot troubleshooting guide.

Emergency/Bad Weather Policy
In the event of inclement weather, CCS VEX will decide at least 24 hours prior to the event wether to reschedule or cancel the event. If timelines permit, every effort will be made to reschedule the event. Please see below the following policies:

If the event is canceled before starting due to inclement weather, a full refund may be offered (minus $5 REC fee).

If rhe event is rescheduled before starting due to inclement weather, team registration will be credited to the rescheduled date. If a team cannot attend the rescheduled date, no refunds will be given.

If the event is in progress and must stop due to emergency, no refunds will be given.

Specific refund details will be communicated by the Event Partner.

The Event Partner and venue are not liable for any costs incurred by teams due to cancellations, including but not limited to:

Refund and Payment Policies
- If the Event Partner cancels the event, refunds will be given to regsitred teams (minus the $5 REC fee).
- If the Event Partner rescheduels the event, team registration will be credited to the rescheduled date. If a team cannot attend on the rescheduled date, refunds will not be given.
- If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend, no refunds will be given for teams, if the event is held, regardless of the reason, once the event closes.
- No team swapping will be allowed two weeks prior to the event.
- If registration is not received one week prior to the event, the team will be unregistered from the event.
Judging Format
Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact on RobotEvents with a submissiond deadline Wednesday prior to the event at 6:00 PM. No late submissions will be accepted.
