General Info

Aggie Robotics is proud to be hosting the 2025 Aggieland Classic V5RC Tournament! This event will be held ON CAMPUS at our wonderful Student Recreation Center.

Pizza order forms will be sent out closer to the competition date!

1. REQUIRED TAMU WAIVERS (MANDATORY)

While these may be a hassle, all waivers are absolutely required for our event to comply with Texas A&M University Youth Protection policies. These have also all been uploaded to the Documents Content Block.

There are three total waivers:

Talent Release Form (attached in Documents Content Block)
Waiver & Indemnification Form (attached in Documents Content Block)
– These must be completed by ALL attendees, including students, coaches, parents, and volunteers.
– Forms may be emailed to [email protected] or turned in physically at check-in. If emailing, please include your Team #, School, and indicate if you plan to turn in more forms at the event.

Rec Sports Waiver linked here
– This waiver must be completed online prior to entering the event space.
– Attendees will not be permitted to enter without this completed.

Please emphasize to your teams that completing these forms is critical. Incomplete waivers may delay or prevent event entry.

 

2. PIZZA ORDER FORMS (UPDATED DEADLINE) LINKED HERE

Due to the event being rescheduled to 1/31/2026, we are extending the form deadline.

NEW DEADLINE: Wednesday, January 28th at 5:00 PM
• Forms must be fully completed, and payment must be sent via Venmo to the account listed on the form.
• Please contact me as soon as possible if you anticipate any issues.

 

3. LUNCH & DINING LOCATIONS

Room 1130 will be available as a designated lunch and seating area for teams during the event. This space overlooks Olsen Field, home of the Texas A&M Baseball team.
Pre-ordered pizza will be distributed in Room 1130 during the designated lunch window. Teams may also cater food through their own means, but must eat in the following dining areas only if eating on Rec Center grounds.
• Teams may eat in the following approved locations only:
Room 1130
2nd Floor Terrace by the front entrance
Lounge area near Shake Smart

• Please avoid overly congesting the Shake Smart Lounge and Terrace areas, as these spaces may also be used by other Texas A&M students. That said, since this is an early-semester weekend, we expect the building to be relatively low traffic.

• It is important to note that on-site and nearby dining options are limited. The only other food options at or near the event will be:
Shake Smart by the main entrance
Memorial Student Center, approximately a 10-minute walk from the Student Recreation Center

• As a reminder, food is not permitted in the competition court area per Rec Center policy.

 

4. PARKING & BUSES: 
All attendees will be able to park in Lot 100A, B, C, E, F, G (see parking map in image gallery on RobotEvents Page) FREE of charge on this day. Please do not park anywhere else, as this is a college campus and parking can be heavily scrutinized and subject to fines/towing.
 
Buses must park in LOT 100J Olsen RV Parking lot off Olsen Blvd (Spaces 10-20 and 25-30). Buses must back into these spaces and will be allowed to park there until the end of the event. There is a bus parking map in the image gallery as well. Please inform me if your organization is bringing buses and how many you are bringing.  

5. ARRIVE ON TIME & BE COMPETITION-READY

Please plan to arrive on time and fully prepared for the event. Doing so allows our volunteers, staff, and competitors to have the best experience possible and helps ensure the tournament runs smoothly.

To help the event operate efficiently, please ensure the following:
• All robots are inspection-ready (correct size, updated firmware, secure license plates, etc.).
• Teams actively track their match schedules throughout the day.
• Teams arrive early to queueing for their matches to avoid delays.
Drive team members must bring and wear safety glasses while on the match fields.

 

6. RESPECT THE CAMPUS & ALL ATTENDEES

Please help us maintain a safe, respectful, and compliant environment:

• Per Rec Center rules, NO FOOD is allowed in the court area. Only sealable drinks are permitted.
• At check-in, all attendees will be required to wear an identifying wristband. Wristbands must remain visible and worn for the entire duration of the event.
• Wristbands will be color-coded, with separate colors for students and coaches/parents.
• Coaches and mentors are expected to supervise students at all times.
• Students must remain within the competition and designated dining areas at all times. If students are found wandering the facility, severe consequences may occur, including but not limited to disqualification from judged awards or removal from the tournament.
• Teams are expected to wear clothing appropriate for a university campus throughout the event. 

 

7. EVENT LAYOUT

Please review the attached rough mock layout of the event space to familiarize yourself with the setup. While minor changes may occur, the final layout should remain very close to what is shown.

 

8. TEAM PAYMENT DEADLINE REMINDER

This is a reminder that team registration payments are due by January 16.

• Teams that have not submitted payment by the deadline, or have not contacted me regarding payment arrangements, may be removed from the tournament team list.
• If you are experiencing payment delays or complications, please reach out before January 16 so we can work with you accordingly.

 

We wish you all safe travels to and from Aggieland this weekend, and the best of luck at the Aggieland Classic. We look forward to an exciting and well-run tournament.

Agenda

This tentative agenda may change marginally to ensure the event runs within a reasonable time. Please prepare your teams to be inspected and arrive at queuing tables before their matches. This helps our staff run the competition smoothly for all competitors.
 

7:15 a.m. : Team Load in - Pit Area and registration open

 

7:30 a.m. : Inspection open

 

9:00 a.m. : Inspection Closes

 

9:15 a.m. : Opening ceremonies and Drivers meeting

 

9:30 a.m. : Match Schedule Released | Skills Field Opens

 

9:40 a.m. : Qualification Matches begin

 

12:00 p.m. : Lunch

 

1:05 p.m. : Resume qualification matches

 

2:45 p.m. : Qualification matches end and the Skills field is closed

 

3:00 p.m. : Alliance selection

Emergency/Bad Weather Policy

All cancellations will be communicated through email. Please check your email the day before and the morning of the tournament (before leaving).

If cancellation due to weather occurs, refunds will be sent

Refund and Payment Policies

If the event is canceled by the Event Partner:  Refunds will be given to teams. 

If the coach/mentor completes registration and then chooses to withdraw or not attend: No refunds will be given

If a cancelation of registration occurs within three weeks prior to the event: No refunds will be given 

**Reduced Registration fees may be available for Teams willing to bring a V5RC Push Back Competition Field, contact the event partner for more information**

Health and Safety Policies

This event follows the Health and Safety guidelines for the TAMU Student Recreation Center.

ALL ATTENDEES MUST COMPLETE THE TAMU REC WAIVER FORM BEFORE ENTERING THE COMPETITION. Waivers are under documents and the Rec Center online Waiver is listed here

Coaches, Chaperones, and Parents are expected to supervise their students & children at all times.

Event Rules to be aware of:

- Teams are also asked to bring safety glasses for the drive team during matches.

- Absolutely no power tools will be permitted to be used inside the Recreation Center. If you must cut/drill something, please inform volunteer staff to guide you to the area where this may be permitted.

- No Food will be permitted within the competition area (Courts). Closed Drinks will be allowed. Teams may eat in the lounge area by the Rockwall & Smoothie King, or on the Terrace Deck on the 2nd Floor. Please avoid overcrowding either area as they will still be open to TAMU Students.

In the event of an evacuation, please follow all emergency exit signage and regroup outside the front of the Recreation Center on Corrington Dr.

Team Drop Off: Teams may drop off their team & supplies at the front entrance loop on Corrington Dr. Upon entering the building, follow signage to the event area. Please do not park on the Corrington Dr loop; only stop temporarily to unload your team's equipment.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical version/copy of their notebook to submit to the judges.
