Agenda

 

Please arrive on time! Contact the event partner by phone if your team is going to be late. We will not be able to add late teams after inspections close.

Our goal is to end early. We ended at 4pm at our last event instead of 5pm, but please plan for us to go all the way to 5pm in case of technical difficulties. 

  • 7:30 AM:  Doors open 

  • 7: 30 - 8:30 AM: Inspections 

  • 8::45 - 9:15 AM: Drivers Meeting 

  • 9:30 AM - 12:30 PM: Qualification Matches/ Skills/ Interviews

  • 12:30 - 1:00 PM: Lunch Break 

  • 1:00 - 3:30 PM: Continue Quals/ Skills/ Interviews 

  • 3:30 - 3:40 PM: Alliance Selection 

  • 3:45 - 5:00: Elimination Matches and Awards

We have a wonderful concessions stand that includes pizza, hot dogs, nachos, and pretzels. We will have additional specialties the day of the event which may include chicken or pulled pork sandwhiches. We will send an complete menu to coaches closer to the date of the event. 

Volunteer

Thank you for your interest in volunteering! 

We are always looking for volunteers - especially for referees and judges. Please contact the event partner by email if you are interested in volunteering. 

Emergency/Bad Weather Policy

We will not be able to reschedule the event in case of an emergency or bad weather. 

If we need to cancel the event due to either scenario, refunds will be issued to all paid teams. 

If a team has paid via Robot Events, the team will not receive the $5 processing fee. 

Refund and Payment Policies

Payment Methods:

  • Teams are welcome to pay in person at the event by cash or check. Please contact the event partner before the the payment deadline (January 9, 2026) to confirm this method of payment. 

  • All checks should be made out to "Basehor-Linwood High School" and please write "VEX 24 Jan 2025" in the Memo line to help our accountants. 

If the Event Partner cancels the event: 

  • We will not be able to reschedule the event in case of an emergency or bad weather. 

  • If we need to cancel the event due to either scenario, refunds will be issued to all paid teams. 

  • If a team has paid via Robot Events, the team will not receive the $5 RECF processing fee. 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

  • Refunds will be issued to teams who withdrawl before or on January 9, 2026. 

  • No refunds will be given for withdrawls within 2 weeks prior to the tournament.

  • Regardless of the reason for issuing a refund the $5 RECF processing fee is not refundable.

Judging Format

All In-Person Judging 

  • The Team Interviews and Engineering Notebooks will be judged in-person the day of the event.

  • Teams should bring a PHYSICAL COPY of their notebook to submit to the judges. Judges will not review digital notebook submissions. Please print any digital engineering notebooks in advance and bring them with you the day of the tournament. Printed notebooks must still be bound (3-ring binder for example).

  • Teams must submit a copy of the Innovate Form inside the front cover of their engineering notebook in order to be considered for the Innovate Award. We will have copies of this form available the day of the tournment.
