Emergency/Bad Weather Policy

The safety of all participants, volunteers, and staff is our top priority. In the event of severe or unsafe weather conditions, the event organizers may delay, reschedule, or cancel the competition.

Teams will be notified as soon as possible via the official event communication channels if any changes are made due to weather conditions.

If weather conditions make travel unsafe or the venue unavailable, the event may be postponed to a later date. Teams are advised to plan travel accordingly and monitor updates from the event organizers before the day of the event.

Participants should allow extra travel time and follow any local safety advisories. The event schedule may also be adjusted on the day if necessary to ensure the safety of all attendees.

Refund and Payment Policies

If the Event Partner cancels the event: 

If the event is cancelled by the Event Partner, registered teams will receive a full refund of the event registration fee. Teams will be notified as soon as possible, and refunds will be processed after the cancellation notice.

 

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend:

If a team withdraws after completing registration or does not attend the event, the registration fee will not be refunded. However, teams are encouraged to notify the Event Partner as early as possible so scheduling adjustments can be made.

 

Health and Safety Policies

The safety of all participants, volunteers, and spectators is a priority at this event. All attendees must follow the venue’s health and safety guidelines and the instructions of event staff. Teams are responsible for keeping their pit areas clean and safe, using tools properly, and ensuring their robots are operated only in designated areas. All robots must pass inspection before participating in the Skills Challenge. Any unsafe behavior may result in warnings or removal from the competition area. In the event of an injury or medical issue, participants should immediately inform event staff so appropriate assistance can be provided.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
