General Info

This event is a HIGH School Only Tournament.  This event is open to all registered Kansas teams. This Event will have 6 qualification rounds per team.  There will be an on-site concession stand for lunch. We are planning on having plaques for awards, not the metal VEX trophies unless the discount for VEX trophies is back in place.

Competition Preparation:

This event is sure to be a fast-paced and exciting event. All teams should come prepared for competition. Here are a few steps that every team should take to ensure that they are prepared...

1. Review the rules and run through the inspection checklist before the competiton so that there is ample time for adjustments. 

2. Check the official VEX forums for rule updates and changes.

3. Pack for the event the day before the day of departure. Remember: Goggles/Safety glasses, spare parts and tools, batteries and chargers, power strip, extension cord, laptop computer, engineering notebook (if you have one, helpful for Judges, Innovate, Design, and Exellence Awards), banners/decorations for your team pit, giveaways if you want. Be certain you've reviewed the updated Qualifying Criteria for consideration for the Excellence Award.

4. Safety comes first. Tools brought with you should not pose a safety risk with sparks, etc.

5. Understand how the game will be played.

6. Be certain you have the latest updates for all your equipment.

7. Participation and consent form - a completed form for all participants must be turned in to participate. These may be completed on-line and uploaded to the Robot Events website and will be there all season long; contact me via email if you need help doing this.

Agenda

8:00 AM Doors open for Team Check-in and inspections begin. Engineering notebooks will be collected at the Team Check-in table when you arrive. Judging of notebooks will conclude by the end of the qualification rounds. 

9:00 AM Drivers meeting

9:30 AM Qualification rounds begin and Skills course opens. (Each Team will get 3 Skills runs of each.) There will be a general announcement of when the Judges will begin visiting with teams. We will have tables set up at the end of the gym for teams to visit with Judges when their schedule allows. Don't wait too late please, because Judging decisions on awards must be made soon after the conclusion of the qualification rounds. 

12:15 - 1:00 PM Lunch Break

1:00 PM Qualification rounds continue

1:30 PM Skills course closes at the end of the qualification rounds

2:30 PM Alliance selection

2:45 PM Elimination rounds begin.

3:45 PM Tournament Concludes and Awards Ceremony begins.

4:00 PM Conclusion of Tournament, but Hopefully earlier than this.

Emergency/Bad Weather Policy

If weather appears to be threatening, a decision will made the day before the meet whether or not to cancel the meet. We may or may not reschedule depending upon the availability of weekends coming up. 

Refund and Payment Policies

REFUNDS & PAYMENT

  • Teams are welcome to pay in person at the event by cash or check. Please contact the event partner before the the payment deadline (February 6th, 2027) to confirm this method of payment. 
  • Any checks should be made out to "Cheney High School Robotics" and please write "VEX Feb 2027" in the Memo line to help our Secretaries.
  • If a Coach/Mentor completes registration for the event then chooses to withdraw - No refunds will be given for withdrawals within 2 weeks prior to the tournament. This is to discourage organizations from holding spots then dropping teams; you will be responsible for paying for the teams dropped. The spots are difficult to fill with other teams that close to the tournament.
  • For teams that have registered and paid but do not show up the day of the event. The team registration fee  will be nonrefundable.
  • The Governing body's fee per team will be subtracted from any refunds If you have already paid through the RECF. 

CANCELLATION:

If the Event Partner has to cancel the event, you will be issued a refund minus the fee for the Governing body.

Team SWAPPING .........(this will be subject to the new Governing Body's policies)

This was what was in place for the previous 25-26 year: 

"The following policy is intended to ensure fair and equitable access to events for teams on event waitlists.

  • During Standard Registration: if the event is full, only teams that have registered for two or fewer events are eligible to be swapped from that organization.
  • ........... staff will have the ability to manually override this policy if a certain situation warrants an exception, but it would not be the expectation that teams would be allowed to swap if they are ineligible.  Therefore, these exceptions would be rare.
  • Team swapping is not allowed or possible for Event Region Championships and the VEX Robotics World Championship.
  • Team swapping for Signature Events is not allowed within 4 weeks of an event.
  • Team swapping is not allowed within 2 weeks of standard events.

 

 

Health and Safety Policies

Use common sense in deciding if you are too sick to attend. If, in your judgement, you are "too sick to go to school" then you are probably too sick to go to a robotics tournament.

Travel Info

From US-400 take the Cheney exit at 383rd St. Go south past golf course and continue south past the middle school and turn west on 6th street. Go 1 block west until Marshall St. Go north and pull into the unloading area by the Cheney High School entrance. Proceed through the high school lunchroom/commons to the middle school gym.

From MacArthur Rd (W 39th St South) turn north onto main street and follow this until 6th street. Turn west on 6th street. Go 1 block west until Marshall St. Go north and pull into the unloading area by the Cheney High School entrance. Proceed through the high school lunchroom/commons to the middle school gym.

Judging Format

All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook for submission to the judges. Judges will not review digital notebook submissions. Please print any digital engineering notebooks in advance and bring them with you the day of the tournament. Printed notebooks must still be bound (3-ring binder for example). 

Judge interviews with teams will be held at tables on one end of the gymnasium. Teams should facilitate their interview by taking their robots and going to a judges table when they have a chance. Don't wait!

Teams must submit a copy of the Innovate Form inside the front cover of their engineering notebook in order to be considered for the Innovate Award. We will have copies of this form available the day of the tournment.
