Emergency/Bad Weather Policy

If the Hong Kong Observatory issues a Black Rainstorm Warning Signal or a Tropical Cyclone Warning Signal No. 8 or above (or announces that Signal No. 8 will be issued within the next two hours) two hours or more before the start of the day’s activities, the event scheduled for that day will be canceled or postponed.

If the relevant warning signal is canceled, the event may resume approximately two hours after the cancellation announcement, subject to venue and traffic conditions. Please closely monitor the latest announcements from the Event Partner and the Hong Kong Observatory.

If a Tropical Cyclone Warning Signal No. 8 or above is issued after the event has started, the event will be suspended immediately and all persons will be arranged to leave the venue in an orderly manner.

If a Black Rainstorm Warning Signal is issued after the event has started, the event may continue indoors if conditions inside the venue are safe. The Event Partner will make the final decision based on safety considerations.

In the event of severe weather, earthquakes, or other unforeseen circumstances that may disrupt transportation or pose safety risks, the event may be canceled or postponed. Any emergency announcements will be posted on the event homepage. We will also contact teams using the information registered on their events.vex.com accounts. Please ensure that your team’s contact details are up to date.

如香港天文台在當日活動開始前兩小時或更早發出黑色暴雨警告信號或八號或以上熱帶氣旋警告信號（或宣布將於兩小時內發出八號信號），當日活動將會取消或延期。

如相關警告信號取消，活動有可能於取消信息公佈後約兩小時恢復進行（視乎場館及交通情況）。請密切留意賽事夥伴及香港天文台的最新公布。

如八號或以上熱帶氣旋警告信號於活動進行期間發出，活動將立即暫停，並安排所有人士有序離開場館。

如黑色暴雨警告信號於活動進行期間發出，若場內情況安全，活動可繼續在室內進行。最終決定權由賽事夥伴根據安全情況作出。

如遇嚴重天氣、地震或其他可能影響交通或構成安全風險的突發情況，活動有可能取消或延期。緊急情況將於活動主頁公布。我們亦會透過隊伍在 events.vex.com 帳戶登記的資料聯絡各隊，請確保隊伍的聯絡資料保持最新。

Refund and Payment Policies

If the Event Partner cancels the event: will not refund the registration fee.

If a Coach/Mentor completes registration for the event then chooses to withdraw or not attend: will not refund the registration fee.

If the Event Partner cancels or postpon the event due to major factors such as natural disasters or adverse weather, no refunds will be issued.

Teams must submit consent forms for all attendees, including but not limited to coaches, students, and parents, before the Registration Deadline. Failure to do so will result in the team being moved to the waitlist, and no refund of the registration fee will be provided.

After receiving your form, we will send an invoice with payment instructions. Payment is due within two weeks of the registration date. Teams that fail to meet this deadline will be moved to the waitlist. 

如賽事夥伴取消活動：報名費用將不予退還。

如教練／導師完成報名後選擇退出或未能出席：報名費用將不予退還。

如賽事夥伴因自然災害或惡劣天氣等主要因素取消或延期活動，報名費用將不予退還。

隊伍必須在報名截止日期前，為所有出席人士（包括但不限於教練、學生及家長）提交同意書。未能按時提交者，隊伍將被移至等候名單，且報名費用將不予退還。

收到您的表單後，我們將傳送包含付款費用的發票與說明。付款截止日期為報名日期起計的兩週內。未能在期限內完成付款的隊伍，將被移至候補名單。

Travel Info

By MTR

• Causeway Bay Station (Island Line) – Exit A, approximately 8–10 minutes walk
• Wan Chai Station (Island Line) – Exit A3, approximately 8–10 minutes walk

From Hong Kong International Airport (HKG)

Take the Airport Express to Hong Kong Station, then transfer to the Island Line to Causeway Bay or Wan Chai Station. Taxi or ride-hailing services are also available. Travel time is approximately 40–60 minutes depending on traffic.

Coach Bus

Teams may arrange private coach buses. Vehicles can drop off passengers at the front entrance of Queen Elizabeth Stadium.

Local Transport Tips

An Octopus Card is highly recommended for convenient travel on MTR, buses, and trams. Taxis are readily available. Please note that most taxis accept cash only (some accept Octopus or Alipay/WeChat Pay).

Parking

Parking is not available at the venue. Teams are strongly encouraged to use public transport.

Accommodation

We recommend staying in the Wan Chai, Causeway Bay, or Admiralty areas for convenient access to the venue.

Visa & Entry

International teams are responsible for ensuring they have the necessary visas and travel documents to enter Hong Kong. Please check the latest entry requirements in advance.

港鐵

• 銅鑼灣站（港島綫）– A出口，步行約8–10分鐘
• 灣仔站（港島綫）– A3出口，步行約8–10分鐘

由香港國際機場（HKG）前往

可乘搭機場快綫至香港站，再轉乘港島綫前往銅鑼灣站或灣仔站。
亦可乘搭的士或網約車，車程約40–60分鐘（視乎交通情況）。

旅遊巴

隊伍可自行安排旅遊巴，車輛可於伊利沙伯體育館正門上落客。

本地交通提示

建議使用八達通卡，方便乘搭港鐵、巴士及電車。的士服務充足，大部分只接受現金（部分接受八達通或支付寶／微信支付）。

泊車

場地不設泊車位，建議隊伍使用公共交通工具。

住宿

建議入住灣仔、銅鑼灣或金鐘一帶，方便前往場地。

簽證及入境

國際隊伍須自行確保持有進入香港所需的簽證及旅遊證件，請提前查核最新入境規定。

Judging Format

Digital Engineering Notebook Submissions / In Person Team Interviews:

Engineering notebooks will be submitted digitally for evaluation via a link in the "My Account" panel of the team contact on events.vex.com. The submission deadline is 13 October 2026, 23:59 UTC+8.

We recommend teams upload their Engineering Notebook as a PDF to Google Drive. If a team intends to use any other platform, please contact the Event Partner before submitting the Digital Engineering Notebook. Failure to report may be deemed as no submission.

Late submissions or failure to submit the Engineering Notebook digitally will not be entertained. Please refer to the Refund Policy for team withdrawal cases.

The Judge Advisor will download the Digital Engineering Notebooks for evaluation after the submission deadline, but will not prevent teams from continuing to update their Digital Engineering Notebooks.

Please ensure the shared link is open, does not require a password or access rights, and is downloadable. Test the link in an incognito/private window before submitting.

Teams can participate in this event without an Engineering Notebook and still be interviewed, but the Team will not earn any top judged awards. For the most current award descriptions and judging criteria, please visit library.globalrobotics.org.

Team interviews will be conducted in-person at the event. Each Team can bring their own physical engineering notebook as a presentation tool during the interview.

評審顧問將於提交截止日期後下載數位工程筆記本進行評審，但不會阻止隊伍繼續更新其數位工程筆記本。

請確保共享連結為公開狀態、無需密碼或存取權限，且可下載。提交前請於無痕／私密視窗中測試連結。

隊伍即使沒有工程筆記本亦可參加本賽事並接受面試，但將無法獲得任何頂尖評審獎項。有關最新獎項說明及評審標準，請參閱 library.globalrobotics.org。

隊伍面試將於賽事現場以面對面方式進行。每支隊伍可攜帶自備的實體工程筆記本，作為面試時的展示工具。
