Volunteer

Emergency/Bad Weather Policy

In the event of severe weather, earthquakes, or other circumstances that may disrupt transportation, the event may be canceled. In case of an emergency, the situation will be posted on the homepage. Additionally, we will contact the teams through the information registered on their events.vex.com accounts, so please ensure that your team's contact information is up to date.

To check the status of Warnings and Advisories, please check the Japan Meteorological Agency website for the Hyogo region.

台風・地震・大雪などの自然災害や、交通機関の運休・遅延などにより、安全な大会運営が困難と判断された場合は、大会を中止することがあります。
大会の開催可否や緊急のお知らせは、本イベントページに掲載するとともに、events.vex.comに登録されている連絡先へご案内いたします。チームの連絡先情報が最新になっていることをご確認ください。

気象警報・注意報については、気象庁（兵庫県）をご確認ください。

Refund and Payment Policies

To maintain a professional and structured competition, registration fees are handled according to the following criteria:

- More than 30 Days Notice: Teams providing an official written withdrawal letter more than 30 days prior to the event start date will receive a full refund.
- 30 Days or Less Notice: Withdrawals requested 30 days or less prior to the event start date are not eligible for a refund due to advanced scheduling commitments.
- Absence Without Notice: If a qualified team fails to appear for the event without prior official written notice, the registration fee is forfeited.
- On-Site Non-Participation: Teams that arrive at the venue but subsequently choose not to participate in the matches remain ineligible for a refund.
- Code of Conduct Violations: If a team is disqualified or prohibited from participating due to regulatory violations, no portion of the registration fee will be refunded.
- Event Cancellation by the Event Partner: If the event is canceled by the Event Partner, all registered teams will receive a full refund of their registration fees.

大会運営を円滑に行うため、参加費の返金については以下のとおりとします。

- 大会開催日の31日前まで：書面（メール可）による参加辞退のご連絡をいただいた場合、参加費を全額返金いたします。
- 大会開催日の30日前以降：大会準備の都合上、参加費の返金はできません。
- 無断欠席：事前の連絡なく大会を欠席された場合、参加費の返金はできません。
- 当日辞退：会場へ来場後、チームの都合により競技へ参加されなかった場合も、参加費の返金はできません。
- 大会ルール・行動規範違反：大会ルールや行動規範への重大な違反により参加資格を失った場合、参加費の返金はできません。
- 主催者都合による中止：イベントパートナーの判断により大会を中止した場合は、参加費を全額返金いたします。

Travel Info

Marist Brothers International School is located in Suma Ward, Kobe, and is accessible by train, bus, taxi, and private vehicle.

By Train

The nearest railway stations are:
- Suma Station on the JR Kobe Line
- Sanyo-Suma Station on the Sanyo Electric Railway Main Line

JR Suma Station and Sanyo-Suma Station are located close to one another. From either station, teams may continue to Marist Brothers International School on foot.

From major stations:
- From Sannomiya Station: Take the JR Kobe Line to Suma Station.
- From Osaka Station: Take the JR Kobe Line toward Kobe and continue to Suma Station.
- From Himeji Station: Take the JR Kobe Line toward Kobe and Osaka and continue to Suma Station.
- From Shin-Kobe Station: Take the Kobe Municipal Subway and transfer to the Sanyo Electric Railway for Sanyo-Suma Station.
- By Sanyo Electric Railway: Travel to Sanyo-Suma Station on the Sanyo Electric Railway Main Line.

By Bus

Local buses operate from the Suma Station and Sanyo-Suma Station area to stops near Marist Brothers International School.

Specific bus routes, stop information, and recommended departure times will be provided to registered teams before the tournament.

By Taxi

A taxi may be taken from either JR Suma Station or Sanyo-Suma Station directly to Marist Brothers International School.

Teams carrying robots, tools, or other large equipment may find this the most convenient option.

By Car

Marist Brothers International School is accessible by car from Kobe, Osaka, Akashi, and the surrounding Kansai region.

On-campus parking will be limited and may be restricted to tournament officials, volunteers, and vehicles receiving prior authorization. Teams and spectators should not assume that parking will be available on campus.

Detailed parking, equipment drop-off, and vehicle access instructions will be shared with registered teams before the event.

Teams should allow additional travel time on the morning of the tournament for unloading equipment and completing event check-in.

Accommodation

ANA Crowne Plaza is the official hotel for the tournament. Hotel booking information can be found on the webpage.

Directly connected to JR Sanyo Shinkansen and Kobe Municipal Subway's Shin-Kobe Station. Just a 2-minute subway ride to Sannomiya (the heart of Kobe) and 35-minute ride to Marist Brothers International School.

電車でお越しの場合

JR須磨駅と山陽須磨駅は隣接しており、どちらの駅からも徒歩でMarist Brothers International Schoolまでお越しいただけます。

・大阪駅から：JR神戸線（神戸方面）で須磨駅へ
・姫路駅から：JR神戸線（神戸・大阪方面）で須磨駅へ
・新神戸駅から：神戸市営地下鉄で三宮へ移動後、JRまたは山陽電鉄をご利用ください。

バスでお越しの場合

須磨駅・山陽須磨駅周辺から学校付近まで路線バスをご利用いただけます。
詳細な路線・時刻表・最寄りバス停については、大会前に参加チームへご案内いたします。

タクシーでお越しの場合

JR須磨駅または山陽須磨駅からタクシーをご利用いただけます。
ロボットや工具など大きな荷物をお持ちのチームには、タクシーでのご来場をおすすめします。

お車でお越しの場合

神戸市内をはじめ、大阪・明石など関西各地からお車でお越しいただけます。

校内駐車場には限りがあるため、大会関係者・ボランティア・事前許可車両を優先とさせていただく場合があります。参加チーム・観戦者の皆様は、校内駐車場をご利用いただけない場合がありますので、あらかじめご了承ください。

駐車場、機材搬入場所、車両進入方法などの詳細は、大会前に参加チームへご案内いたします。

ホテルはJR山陽新幹線・神戸市営地下鉄「新神戸駅」に直結しています。三宮までは地下鉄で約2分、会場までは約35分です。

Judging Format

The Engineering Notebook will be evaluated only on competition day. Engineering notebooks will be submitted digitally for evaluation via a link in the "My Account" panel of the team contact on events.vex.com. The submission deadline is Friday, November 20, 2026, 18:00 Japan Standard Time.

After the submission deadline, the Judge Advisor will download the submitted Digital Engineering Notebooks for evaluation. Teams may continue to update their notebooks after the deadline; however, only the version downloaded by the Judge Advisor will be used for judging.

Teams can participate in this event without an Engineering Notebook and still be interviewed, but the Team will not earn any top judged awards. For the most current award descriptions and judging criteria, please check the current rules.

Late submissions or failure to submit the Engineering Notebook digitally will not be entertained. Please refer to the Refund Policy on Team withdrawal cases.

Team interviews will be conducted in-person at the event. Each Team can bring their own physical engineering notebook as a presentation tool during the interview.

エンジニアリングノートブックの審査は、大会当日に実施されます。デジタル・エンジニアリングノートブックは、events.vex.com のチーム連絡担当者（Team Contact）の「My Account」から提出してください。
提出期限は、2026年11月20日（金）18:00（日本標準時）です。

提出期限後、Judge Advisorが提出されたデジタル・エンジニアリングノートブックをダウンロードし、ジャッジによる審査を行います。提出期限後もノートブックを更新することは可能ですが、審査対象となるのは、Judge Advisorが期限後にダウンロードしたバージョンのみです。

エンジニアリングノートブックを提出しなくても大会への参加およびチームインタビューは可能です。ただし、Excellence Awardをはじめとする主要なジャッジ対象賞の受賞資格は得られません。各賞の詳細および審査基準については、最新のゲームマニュアルをご確認ください。

提出期限後の提出や、デジタルで提出されていないエンジニアリングノートブックは受理できません。チームの参加辞退については、「Refund Policy」をご確認ください。

チームインタビューは大会会場で対面にて実施します。インタビューでは、プレゼンテーション資料として紙のエンジニアリングノートブックを持参することもできます。

Team Competition Areas

Spectators are warmly welcome throughout the tournament and are encouraged to cheer on all teams.

To support the Student-Centered philosophy of the VEX Robotics Competition, access to the Pit Area, Inspection Area, Queueing Area, and Competition Fields is limited to student team members, event volunteers, and authorized officials.

Coaches, mentors, parents, and other supporters may briefly visit their team's pit but should avoid remaining there during the competition. Students are expected to make their own engineering decisions, solve problems independently, and prepare their robots for matches without adult intervention.

Event staff may ask adults to leave restricted areas if necessary. Repeated violations of the Student-Centered philosophy may be referred to the Judge Advisor, Head Referee, or Event Partner and could affect a team's eligibility for judged awards or continued participation.

観戦はどなたでも自由にご参加いただけます。ぜひ競技に挑戦する生徒たちへ温かい応援をお願いいたします。

VEX Robotics Competitionでは、「Student-Centered（生徒主体）」の理念を大切にしています。そのため、ピットエリア、ロボットインスペクションエリア、キューイングエリア、競技フィールドへの立ち入りは、参加生徒、大会スタッフ、ボランティア、および大会関係者に限られます。

コーチ、保護者、メンターなどのサポーターは、必要に応じて短時間ピットエリアへ立ち入ることはできますが、長時間の滞在や、生徒に代わってロボットの調整・修理・競技準備を行うことはできません。ロボットの設計・製作・プログラミング・試合準備・競技中の判断は、生徒自身が主体となって行うことが求められます。

大会運営上必要と判断した場合は、大会スタッフが制限区域からのご退出をお願いすることがあります。また、Student-Centered Policyへの重大または継続的な違反が確認された場合は、Judge Advisor、Head Referee、またはEvent Partnerにより審査対象賞の受賞資格や大会参加資格に影響する場合があります。

The entry fee is JPY 20,000 per team, including tax.

Please do not submit payment until your team's participation has been confirmed.
Teams on the Waiting List should wait until they have earned a Qualification Spot and have been moved to the list of confirmed participants before making payment.

For security reasons, on-site payment at the venue, including cash payment, will not be accepted.

If paying by credit card is difficult, bank transfer is also available. Please contact the Event Partner if you need an invoice issued.
