General Info

COVID Health & Safety:

As COVID is still a large concern in our daily lives, Vaughn College has changed several policies for all guests. Anyone or any organization found to not adhere to these policies will be removed from the premises, denied entry and no refund will be given for their associated team's registration fees. Unfortunately, no first warnings will be given prior to dismissal from the event. 

1. Anyone in Vaughn College must wear a mask at all times.

2. Spectators are not allowed at the event.

3. Eating is not permitted in the pits or hangar area. All eating must be in the cafeteria downstairs.

4. Each team will be limited to a total of 8 participants including one adult.

5. No spectators will be allowed at this event. A Livestream will be provided.

IMPORTANT NOTE: All guests will be required to be fully vaccinated to enter Vaughn College. Furthermore, anyone who meets eligibility must have taken their vaccine booster. As a reminder, eligibility for the booster is six months after your second dose date. In a nutshell, anyone who received their second dose prior to September 11, 2021, would need a booster to enter the premises for the competition. Anyone who has received their second vaccine dose after September 12, 2021, will not need a booster to enter the premises.

Check-in Procedure:

In order to expedite the check-in process in the morning, please first ensure that all attendees of the event that day are present.  We ask that you enter the front lobby with all attendees of the event. If you surpass the eight-person limit, the team will not be granted entry until they meet the requirements for entry.

Please Note:

1. We ask that you have your vaccination card or NYS Excelsior Vaccination Pass PLUS ready on hand for inspection. Please also have some form of photo identification ready.

2. The eight members of the team will be given a security badge to be worn. You will need to present the security badge when requested by volunteers as well as during re-entry into the building. Failure to present the badge will result in denied entry.

3. Engineering notebooks will be collected at check-in. Please make sure that you have a physical notebook for the competition. We will not be accepting flash drives or digital files.

Special Notes:

1. Please work with your students to review the V5 Inspection checklist. Robots cannot exceed the 18”x18”x18” starting size limit. Robots must also never exceed a horizontal expansion limit of 36” at any time.

2.  We will be conducting in-person judging in the East Wing First Floor. The judging will be on a first come first serve basis. Announcements will be made when judging is available.

Furthermore, a friendly reminder that there are still teams who have not paid registration. Please make sure that everything is paid as soon as possible before the event.

Judging Format

In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
