QSI Dragons VEX V5 Scrimmage : Season Opener

QSI International School of Shenzhen welcomes VEX V5 teams to our 2026–2027 season opener. This is a student-centered, English-language scrimmage for V5RC Override. It is a practice event — not a qualifying tournament — so teams can inspect, drive, run Skills, and learn the new game in a supportive setting before the official season ramps up.

Skills fields run in parallel with qualifying matches. Skills close before alliance selection.

Eligibility
Open to registered VEX V5 teams for the 2026–2027 season. Robots must pass inspection to compete.

Registration & cost
Pre-registration on RobotEvents is required. A venue-cost contribution will be collected. Expect about 150–200 RMB per student; the final amount will be lower if more students attend.

Facilities
Indoor venue, competition field, pit tables, and power. Bring your own extension leads and chargers. Lunch is not provided — teams should order or bring food. Spectators are welcome; space is limited.

What to bring

  • Robot, batteries, controller, tools, and spare parts
  • License plates attached
  • Safety glasses for all students in the pit and field area
  • Printed inspection checklist if possible

Safety & conduct
All participants follow the Global Robotics & Science Foundation Code of Conduct and Student-Centered Policy, plus school campus rules. Students drive, build, and strategize. Adults coach — they do not build or drive. Safety glasses required in pits and on the field.

Emergency / Bad Weather Policy

The venue is indoor. Rain alone does not cancel the event.

The Event Partner may delay, shorten, postpone, or cancel if student travel or campus conditions are unsafe, including:

  • Shenzhen Typhoon Yellow / Orange / Red
  • Shenzhen Rainstorm Red
  • Shenzhen Strong Monsoon Red
  • Official school / campus closure
  • Flooded access roads or venue power loss

Decision rule

  • Warning in effect before 08:00 → do not travel. Event cancelled or postponed.
  • Rainstorm Red issued 08:00–12:00 while teams are on site → stay indoors and continue if safe. No one is sent out into the storm.
  • Rainstorm Red issued 12:00–14:30 → afternoon cancelled. Safe dismissal only.
  • Warning issued after 14:30 while the event is running → finish safely, then dismiss when travel is safe.

If the event has already started
Everyone remains in indoor areas (gym, pits, halls). Play is shortened in this order if needed: Skills, then Qualifying Round 2, then alliance selection and finals.

Communication
Updates go to RobotEvents primary and secondary contacts and the event WeChat group.

  • By 21:00 Thursday, 8 October if overnight forecasts look bad
  • By 06:30 Friday, 9 October for a same-morning call
  • Immediately if a warning is issued during the event

On site
Students already at the venue stay until a parent or coach collects them, or until the warning drops and travel is safe. First aid remains available until the last team is dismissed.

Refunds
If the Event Partner cancels, or a cancel-level warning stops the event before it starts, fees already paid are refunded in full (or rolled to a makeup date). If the morning has already been held and only the afternoon is cut, there is no refund.

Event Partner decisions on delay, shorten, postpone, or cancel are final.

Refund and Payment Policy

A venue-cost contribution of about 150–200 RMB per student will be collected after registration numbers are confirmed. The final amount depends on how many students attend.

If the Event Partner cancels the event
Full refund of any fees already paid.

If the event is cancelled because of weather
Full refund of any fees already paid if the event cannot run, including:

  • Rainstorm Red that cancels the day under Shenzhen school guidance (issued before 08:00, or 06:30–08:00)
  • Typhoon Yellow / Orange / Red
  • Strong Monsoon Red
  • Campus closure, unsafe access, or power loss

If a makeup date is offered, paid fees roll to that date. If a team cannot attend the makeup date, a full refund will be issued.

If Rainstorm Red is issued after the event has started

  • 12:00–14:30 (afternoon cancelled): morning play counts as the event held. No refund.
  • Warning while teams are already on site in the morning: the event continues indoors if safe. No refund.

If a coach / team withdraws or does not attend

  • Withdrawal more than 7 days before the event: full refund of fees already paid
  • Withdrawal 7 days or less before the event, or no-show: no refund
  • A team that cannot travel because an official cancel-level warning is in effect still receives a refund if the event itself is cancelled; if the event runs, no refund for that team

The Event Partner is not responsible for travel, hotel, meals, or other costs if the event is delayed, shortened, postponed, or cancelled.

Judging Format

Please review the following Judging Format options and keep the ones that apply to your event, and delete the others that do not apply.

  • No Judging
  • All In-Person Judging - The Team Interviews and Engineering Notebooks will be judged in-person the day of the event. Teams should bring a physical copy of their notebook to submit to the judges.
  •  All Remote Judging - The Initial Team Interviews will be conducted remotely, and Engineering Notebooks will be submitted to judges digitally via a link found within the "My Account" panel of the team contact.  Initial Interviews and Notebook submission deadlines may be scheduled ahead of the event date.
  • Remote Initial Team Interviews / In-Person Engineering Notebooks: Initial Team Interviews will be conducted remotely, possibly before the date of the event. Engineering Notebooks will still be submitted in person the day of the event to be evaluated by judges.
  •  Digital Engineering Notebook Submissions / In Person Team Interviews: Team interviews will be conducted in-person at the event. Engineering notebooks will be submitted digitally for evaluation via a link found within the "My Account" panel of the team contact. A submission deadline that may be scheduled ahead of the event date.
