General Information

System Overload’s VEX Robotics® Coach Workshop is a four-hour, coaches-only program for new and returning coaches who want practical strategies for teaching robotics while maintaining student ownership.

Workshop Hours: 9:00 AM–1:00 PM
Location: Virtual through Google Meet


Workshop Focus

Topics will include:

  • Teaching the engineering design process and robot construction
  • Introducing VEXcode, programming, and troubleshooting
  • Supporting engineering notebooks and judging preparation
  • Preparing students for inspection and competition day
  • Organizing meetings, student roles, and season timelines
  • Guiding students through challenges without taking over their work
  • Finding and interpreting reliable season information


Who Should Attend

This workshop is intended for coaches who have some familiarity with VEX and want to strengthen their teaching and team-management skills. It is appropriate for both first-time coaches and returning coaches looking to improve their approach.


Virtual Workshop Requirements

The Google Meet link and preparation materials will be sent to registered participants before the workshop. Please join from a computer with a reliable internet connection.

Participants are encouraged to have access to:

  • The current season’s game manual
  • VEXcode
  • A notebook or document for notes and season planning

VEX Coach Workshop

Workshop Hours: 9:00 AM–1:00 PM
A practical workshop focused on teaching, team management, and student-centered coaching.

Time Workshop Topic
9:00–9:15 AM Welcome and Introductions
Review workshop goals, identify priority teaching topics, and discuss common challenges faced by VEX coaches.
9:15–9:35 AM VEX Program Refresher
Review official resources, team and event support, engineering notebooks, judging, and competition expectations.
9:35–10:15 AM Teaching Engineering Design and Robot Building
Help students brainstorm, select designs, prototype, build, test, and iterate while keeping decisions student-led.
10:15–10:45 AM Teaching Programming and Troubleshooting
Introduce VEXcode, teach programming in manageable lessons, and guide students through troubleshooting without giving them the solution.
10:45–10:55 AM Break
10:55–11:25 AM Teaching Engineering Notebooks and Judging Skills
Teach students to document their design process, reflect on improvements, share notebook responsibilities, and prepare for judging interviews.
11:25–11:50 AM Coaching Without Taking Over
Use effective questions, productive struggle, and conflict-resolution strategies while protecting student ownership of the work.
11:50 AM–12:15 PM Organizing and Managing a Team
Set expectations, assign student roles, plan productive meetings, manage deadlines, and communicate with families.
12:15–12:40 PM Preparing Students for Competition
Prepare students for inspection, pit organization, judging, match queuing, alliance communication, and competition-day challenges.
12:40–12:55 PM Teaching Practice and Season Planning
Outline a short student lesson and create a season timeline for design, building, programming, documentation, testing, and competitions.
12:55–1:00 PM Final Questions and Resources
Review key takeaways, share coaching resources, and identify practical next steps.

Emergency/Bad Weather Policy

Bad weather should not affect this event. In case of a cancellation, the event partner will contact you as early as possible. Students should make sure their contact information in events.vex.com is up to date and includes both school and non-school phone numbers.

Refund and Payment Policies

Coaches who have registered but have not paid or submitted a PO 4-weeks prior to the event (September 11th, 2026) will be placed on the waitlist for the event unless special arrangement has been made with the Event Partner.

No refund will be provided as organization incurs expenses upfront to organize the event.

If the event is canceled, a full event registration refund will be given to all paid coaches.
