General Info

This is the Last Stop folks!!!  Get your ticket for the next train to the State Championship! 

 

This tournament is only open to teams that have not yet qualified for the State Championship.  Use the Waitlist Tab to add your team to the waitlist.  On Feb 16, we will add teams to the event.  Payment is expected promptly or at minimum communication about how it will be issued. If you have just recently qualified, please let us know that so that we can provide these spots to another team.

 

This is the last stop for a chance to qualify for the State Championship.  We are located about an hour south of Indy and an hour north of Louisville along 65.  Click on one of the underlined links below for more information.

 

State Qualifying: Yes (1 spot - Robot Skills Champion)

We will be running a full tournament with trophies for Excellence, Tournament Champions, Design, Innovate, and Judges Awards, but only the Robot Skills Champion will get the qualification to state.  This is a new limitation for all invitational tournaments from the RECF Foundation.  We are not able to change the Awards listed on the event.  That is a limitation of the software.

All participants and coaches must complete the Online Participant Release Form. The REC Foundation requires that all teams have submitted this form prior to competing during the season.

Please Note: The schedule above is subject to changes.  It is based on the max capacity of the event running 3.5 minute match cycles.  We will aim to make any adjustments and email them out by noon the Thursday before the tournament.

 

We plan to have 1 skills field, 3 competition fields, and 1 practice field.

 

We plan to have a table with judges available for interviews when students are ready. 

 

Food will be available at our Concessions Stand.  We will also have an option to order a whole pizza ahead of time. Information will be in the coaches email we send out a week before the event.

 

Our organization is very intentional to stay on schedule and make the best use of time at the event.  Students should watch the displays that will be visible from the Pits and make sure to be in place at the Queueing table, so they don't miss their match time and end up with a no-show score.

We are open to hosting VURC Skills runs in exchange for volunteer time. 

Emergency/Bad Weather Policy

In case of bad weather conditions or possible cancellations, please visit the event on Robotevents.com (here) where I will post updates about the event status in the General Info Page.  I will also send an email to coaches on the contact list.

 

We are hearty people down here, we like robotics, and it's gotta be a lot of snow or ice to stop this train in it's tracks.

Refund and Payment Policies

Event payments are expected to be paid when you register for the event.  Teams that have not paid prior to the Payment Deadline will be moved to the waitlist to allow teams on the waitlist to register.

If the Event Partner cancels the event: 

All refunds will be repaid minus 5$ (per team) with checks sent out within 1 month of the cancellation.

If a Coach completes registration for the event then chooses to withdraw or not attend: 

All cancellations and requests for refunds must be completed prior to Payment Deadline. Refunds will be processed within 1 month following the event.

All teams need to be present and checked in prior to the start of the Opening Ceremonies. Refunds will not be issued to teams who cannot compete because they arrived after competition rounds have begun.

Payment Deadline is January 31, 2026. Not paying by this date may mean that your team may be placed on the waitlist to make room for another team.

Parking:  The school has 2 parking lots.  If they are full feel free to park legally on Obrien St.  There is also a small teacher parking lot to the north of the building. Please do Not park beyond that teacher lot in the Boys and Girls Club parking lot since we do not know what events they may have that day.

 

Buses: Please enter the school grounds from the North via Obrien St.  There is a skinny one way lane before you reach the main driveway.  Pull your bus all the way in to the front, but just before the parking spots start on your right.  Subsequent buses, pull up behind the bus in front of you.  If there are no more spots in this lane, please park along the sidewalk closest to the building (the sidewalk in the North Parking lot).

Judging Format

 

This event will feature a hybrid judging model, with Digital Notebook Submissions and In-Person Interviews of teams.

 

Notebook Submission

 

Notebooks must be submitted digitally through robotevents.com. The deadline to submit a notebook can be found on our Deadlines Page.  To submit a notebook, use the link on the "My Account" panel.  Notebooks should NOT be emailed to the Event organizers.  They can only be submitted through Robotevents.com.

 

Team Interviews

 

Each team will have the opportunity for an in-person interview during the tournament.  We will have judge interview tables with judges ready to interview during the event. We will also have judges mingling with the students and inviting them for interviews. It will be Your Team's Responsibility to connect with them before the end of qualification matches if you would like to be interviewed.

Standard Registration Opens: Dec 6 - 4 PM

Cancel for Refund Deadline (minus 5$): Feb 9 Noon - Simply remove your team from the waiting list.

Payment Deadline: Feb 20 4:00 PM EST (please communicate if you have extenuating circumstances)

Registration Closes: Feb 25 4:00 PM EST

Notebook Submission Deadline: Feb 26 Noon

Arrive & Check in at the Event Deadline: Feb 28 9:15 AM

Match Appeals

 

To keep our Events on schedule we have implemented the following rules for Appealing a Head Referee's ruling (T3 from the game manual).  This falls under the T4 scope.

 

1. If a team is wanting to make an Appeal, they must provide the Head Ref with the applicable rule number.

2. The Head Ref will give each team an opportunity to comment.

3. The Head Ref will consider the appeal, what they observed, and may consult with scorekeepers.  Then they will provide a response.

4. Each team will be allowed one more response (30 seconds).

5. Then the Head Ref will make a final ruling. 

6. After the Head Ref specifies that his ruling is final, the discussion is complete because the Head Ref needs to move to the next match.

 

In summary, teams will have two opportunities to comment on the Appeal.  Once before the Head Ref replies and once after, but that will conclude the discussion unless the Head Ref asks a question or initiates more discussion.
